Schedule: Monday–Friday, 8:00 AM–4:30 PM (Onsite)

Location: Neuroscience Center

Position Overview

This position provides frontline phone and administrative support within the Psychiatry Department, assisting patients and collaborating closely with office staff to ensure efficient communication and smooth clinic operations. The role plays a key part in facilitating timely patient access, accurate scheduling, and positive patient experiences.

 

Primary Responsibilities

  • Provide phone support for multiple office staff within the Psychiatry Department

  • Answer incoming calls and route messages appropriately

  • Schedule, reschedule, and manage patient appointments

  • Support message pool workflows

  • Facilitate patient flow from point of entry to destination in a timely, accurate, and professional manner

  • Obtain and verify patient demographic and financial information to ensure accurate records and optimal reimbursement

  • Interview patients to gather appropriate medical information

  • Direct patients and visitors accurately and courteously

Training & Onboarding

Onboarding includes structured training, standardized workflows, and skill checkoffs. New team members typically complete 1.5–2 months of training before transitioning to independent work.

Required & Preferred Qualifications 

  • High School Diploma or GED required

  • Relevant experience in a healthcare setting preferred

  • Ability to learn and retain medical coding concepts; experience with ICD10 and CPT coding preferred

  • Ability to interpret insurance information; knowledge of clinical practices and medical terminology preferred

  • Basic proficiency with Microsoft Office applications, including Word, PowerPoint, and Excel
