The Maintenance Spare Parts Procurement Specialist is responsible for the strategic sourcing, purchasing, inventory management, and supply chain optimization of spare parts and components for building systems and equipment across commercial real estate portfolios. This role ensures critical parts availability while minimizing carrying costs and preventing equipment downtime. 

Key Responsibilities 

Spare Parts Procurement 

  • Source and procure spare parts for HVAC, electrical, plumbing, elevator, fire safety, and building automation systems 
  • Research and identify OEM and aftermarket part suppliers 
  • Develop sourcing strategies for critical, high-usage, and obsolete parts 
  • Negotiate pricing, lead times, and terms with parts suppliers 
  • Manage emergency procurement for urgent maintenance needs 

Inventory Management 

  • Establish and maintain optimal inventory levels for spare parts 
  • Implement min/max inventory controls and reorder points 
  • Coordinate with maintenance teams on parts usage and forecasting 

Technical Analysis 

  • Work with maintenance technicians to identify correct part specifications 
  • Research part numbers, cross-references, and compatibility 
  • Evaluate OEM vs. aftermarket alternatives for cost optimization 
  • Maintain technical documentation and parts catalogs 
  • Support equipment standardization initiatives 

Supply Chain Management 

  • Develop relationships with OEM dealers and distributors 
  • Monitor supplier performance and delivery metrics 
  • Manage parts warranties and return processes 
  • Coordinate with multiple properties for consolidated purchasing 
  • Implement vendor-managed inventory programs where appropriate 

Data Management & Reporting 

  • Maintain accurate parts database in CMMS/ERP systems 
  • Generate inventory reports and procurement analytics 
  • Track key metrics: stock-outs, carrying costs, turnover rates 
  • Provide cost analysis and budget support 
  • Maintain parts specifications and vendor information 

Required Qualifications 

  • High School Diploma 
  • 3-5 years' experience in parts procurement or inventory management 
  • Experience with IBM Maximo CMMS for work order management, asset tracking, and inventory control 
  • Proficiency in JDE (JD Edwards) ERP system for procurement, inventory management, and financial reporting 
  • Knowledge of building systems and mechanical/electrical components 
  • Strong analytical and problem-solving skills 
  • Ability to read technical drawings and specifications 

Preferred Qualifications 

  • Experience in Life Science Industry 
  • Knowledge of HVAC, electrical, plumbing, and elevator systems 
  • Advanced Maximo certification or extensive hands-on experience with modules including Inventory, Purchasing, and Asset Management 
  • JDE certification or demonstrated expertise in Procurement, Inventory Management, and Accounts Payable modules 
  • Technical background in mechanical or electrical trades
