Responsibilities

- →Running recurring meetings and contract mechanics that keep the account's leadership and client aligned on how the business is being managed.
- →Run QBR and town hall logistics: agenda, deck, scheduling, room booking, meeting invitations, distribution, and SharePoint archiving
- →Run the Quarterly Steering Committee cadence
- →Coordinate annual leadership offsite planning: dates, agenda, and presentation materials
- →Maintain MSA and change order tracking, including Commercial Team call administration and meeting minutes
- →Maintain contract compliance documentation, including support for the annual SSAE 22 / SOC 1 Type II audit and FCPA and OFAC compliance records
- →Administer the CaT Survey and the Vested training program, including online Vested portal administration
Reporting and Performance Management
- →Tracking how the account is performing against its commitments and making sure that performance is documented, reported, and visible to leadership on a predictable schedule.
- →Run the quarterly scorecard cycle end to end: gather data, secure approvals, upload to SharePoint, and schedule the variance meeting
- →Own the savings tracker and its quarterly report into the QBR
- →Prepare quarterly and annual metric reports and distribute them to leadership
Leadership Support and Process Improvement
- →Working alongside the Senior Director of Business Operations on the work that sits above day-to-day execution: keeping leadership priorities moving, improving how teams work together, and helping the account prepare for what's ahead.
- →Serve as a day-to-day partner to the Senior Director: prepare briefing materials, track leadership action items to closure, and keep work moving when the Senior Director is unavailable
- →Maintain a forward-looking view of account milestones; upcoming needs are raised and planned for early
- →Contribute to process improvement across service lines, recurring coordination issues, and places where a documented process is needed
- →Support technology rollout and adoption on the account: training coordination, adoption tracking, and change communications
- →Research and organize how other JLL accounts run business operations, to inform improvements on this account
- →Own Project Management Office standards, templates, and playbooks, including onboarding materials and the transition meeting process
Communications and Recognition
- →Keeping the account informed and its people recognized, the internal communications and recognition work that supports morale and team awareness.
- →Own account-wide communications: announcements, lunch and learns, and leadership messages, including Account Director holiday notes
- →Monitor the account's shared inboxes, including recognition submissions, and maintain the compliments tracker
- →Run the rewards and recognition program with the recognition committee: nominations, award ordering and delivery, certificates, and winner communications
General Administration
- →The recurring administrative work that keeps the account's people data, tools, and records current.
- →Maintain HR reports, the org chart, and distribution lists on a weekly cadence across all service lines
- →Run new joiner onboarding and monthly training, keeping training materials current
- →Own renewal documentation, attestation administration, and TAT approval
- →Serve as Ethics Liaison, Well-Being Champion, and Safety Champion for the account
- →Administer SharePoint site content, Smartsheet license and access management
Requirements
~1 min read- Bachelor's degree in business, operations management, or a related field, or equivalent experience
- 3+ years of program management, project management, business operations, or consulting experience
- Experience supporting leadership meeting and reporting cycles, such as QBRs, steering committees, scorecards, or contract administration
- Experience coordinating work across multiple teams or stakeholders
- Sound judgment about when to act independently and when to escalate
- Comfortable owning defined responsibilities independently while contributing to broader, less defined work
- Proficiency in Microsoft 365, SharePoint, and Smartsheet
- PMP, CAPM, or Lean Six Sigma certification
- Experience contributing to a process improvement, change management, or technology adoption effort
- Experience in corporate real estate, facilities, or professional services accounts
- Exposure to federal contracting or compliance environments
- Power BI experience is a plus
What We Offer
