This role provides high-level executive support to the Chief Marketing Officer of a large, global healthcare organization. You will be the central point of coordination for calendar management, travel, meetings, communications, and team activities. Beyond traditional executive assistance, you will operate with a light Chief of Staff mindset, staying closely connected to business priorities and key stakeholders. You will anticipate upcoming milestones, identify preparation needs, and ensure the right people and information are in place ahead of important decisions. The role offers broad exposure to a fast-moving global marketing organization and its strategic planning cycles. Success means creating structure across complex priorities while helping the executive and broader leadership team stay aligned, prepared, and focused.
- Manage the executive calendar in alignment with annual, monthly, and weekly business priorities, understanding the purpose and importance of strategic planning, product, business development, customer, talent, leadership, and one-on-one meetings.
- Look several weeks ahead to anticipate major milestones and proactively schedule the preparation, alignment, and decision-making meetings needed to support them.
- Apply consistent calendar standards, ensuring accurate attendees, reporting relationships, agendas, pre-reads, links, locations, time zones, and appropriate meeting buffers while identifying scheduling conflicts and overloaded periods.
- Maintain a clear understanding of executive priorities, upcoming milestones, stakeholder commitments, key decisions, and emerging risks, addressing gaps before they become urgent issues.
- Help ensure the executive maintains relationships with the right business leaders, customers, partners, and team members by proactively identifying important connections and meeting opportunities.
- Prepare concise context for critical meetings and coordinate the necessary data, presentations, pre-reads, and stakeholder alignment.
- Coordinate leadership meetings, town halls, offsites, and other major team activities, managing objectives, agendas, participants, materials, logistics, and follow-up actions.
- Track decisions, commitments, and next steps, ensuring clear ownership and deadlines while carrying forward previous direction and closing open loops.
- Build strong relationships across the organization to understand emerging priorities, connect related work, and identify matters requiring executive attention.
- Coordinate domestic and international travel, including itineraries, accommodations, transportation, meeting logistics, contingency planning, and expense reporting.
- Manage incoming requests and correspondence, prepare and quality-check presentations, emails, reports, and meeting materials, and route questions to the appropriate stakeholders.
- Handle confidential business, talent, and personal information with discretion while bringing professionalism, warmth, and a positive attitude to a fast-paced global environment.
Requirements
~1 min read- 10+ years of experience as an Executive Assistant supporting senior executives in a complex, global business environment.
- Experience supporting a leader responsible for a multibillion-dollar business or portfolio is strongly preferred.
- Strong business judgment and advanced calendar-management skills, with the ability to align executive time with business priorities rather than simply responding to incoming requests.
- Highly proactive and forward-looking, with a natural ability to anticipate preparation requirements, identify relevant stakeholders, and act before being prompted.
- Genuine curiosity about business and marketing, with the ability to quickly understand a portfolio, organizational structure, planning cycles, and operating rhythms.
- Strong communication and relationship-building skills, with the discretion to gather information across an organization and determine when to act, escalate, or seek clarification.
- Highly organized, dependable, and detail-oriented, with the ability to maintain accuracy and standard processes while managing changing priorities.
- Comfortable using Outlook, Teams, PowerPoint, Word, and related collaboration and productivity tools.
- Associate degree or equivalent experience required; bachelor’s degree preferred.
- Must be legally authorized to work in the United States; employment visa sponsorship is not available for this position.
