Role Title: Inventory Assistant

Job purpose:

Ensuring smooth inventory operations, coordinating the replenishment of upcountry stocking points, receiving and managing stocks at the warehouse, and dispatching all customer orders within established Service Level Agreements (SLAs) while maintaining 0% variance in stock discrepancies. Maintain the efficiency and accuracy of warehouse operations and ensuring a seamless supply chain process from inventory management to customer fulfillment.

N.B. All applications must be received on or before 5:00 PM CAT on September 17th 2024. An assignment may form part of the selection process.


Role Responsibilities:

  • Accurately update and maintain all inventory records, ensuring the team is consistently informed about the current stock levels and any potential discrepancies.
  • Ensure that physical stock matches the data in Microsoft Dynamics, conducting regular reconciliations to identify and resolve any variances in inventory.
  • Maintain detailed records of key operational metrics, including stock dispatches, receipts, and returns, ensuring that all transactions are properly documented and accounted for in the system.
  • Receive and record proof of payments from customers, provided by drivers and riders, ensuring all financial transactions are promptly and accurately logged in Microsoft Dynamics Business Central (BC) for quick reconciliation and order closure.
  • Track any technical issues that may arise during the order fulfillment process and escalate them to the appropriate teams for resolution, ensuring minimal disruption to the workflow.
  • Assist drivers with any challenges or issues they encounter during deliveries, offering guidance and support to ensure smooth operations.
  • Participate in the weekly cycle counts and monthly full inventory counts, ensuring that stock levels are accurate and reported in a timely manner.
  • Assist walk-in customers by providing excellent service and guiding them to the Kasha call center for further assistance when needed, ensuring customer satisfaction.
  • Maintain updated and organized customer files, including delivery notes and proof of payment, for accurate future reference and record-keeping.
  • Coordinate the timely replenishment of upcountry stocking points, ensuring that stock levels are maintained to meet customer demands and that all updates are communicated to the sales team.


Minimum Qualifications:

  • Bachelor’s Degree in Business Administration, Procurement, Logistics, Supply Chain Management, or related fields.
  • Demonstrated proficiency in Microsoft Office applications, with a particular focus on Excel for inventory tracking and reporting.
  • Fluency in English and Kinyarwanda is required. Proficiency in additional languages such as French and Kiswahili is considered a strong advantage.
  • Experience using Microsoft Dynamics and Rwanda Revenue Authority (RRA) Electronic Billing Machine (EBM) systems is a plus.
  • Strong attention to detail, with the ability to manage multiple tasks simultaneously and meet deadlines.
