We are seeking a detail-oriented Staff Accountant to support a U.S.-based general contracting firm on the day-to-day compliance and administrative side of construction accounting. You'll work closely with the Senior Project Accountant, owning lien releases, insurance certificates, licensing, and vendor records — the paper trail that keeps every project compliant and payments moving. This is a great fit for someone who loves systems, catches what others miss, and takes pride in an airtight compliance file.

What you'll do
- Lien Releases & Pay Applications — Collect, verify, and log conditional and unconditional lien releases from subcontractors each pay cycle, confirming notarization, amounts, and entity names match, and following up proactively on missing paperwork.
- Insurance Certificates (COIs) — Track certificates of insurance across all active subcontractors, confirm coverage meets project requirements, and manage renewal reminders 30–60 days ahead of expiration.
- Licenses & Registrations — Maintain a compliance calendar for contractor licenses, business registrations, and workers' comp certificates, reaching out to subcontractors 60–90 days before expiration and verifying status through state databases.
- Vendor Onboarding & Compliance — Collect and maintain W-9s, manage subcontractor onboarding checklists, and flag non-compliant vendors before payment is released.
- Change Order Administration — Track subcontractor change orders through approval and billing, reconcile against budgets, and follow up on outstanding signatures.
- General Accounting Support — Assist with accounts payable, data entry and reconciliation in QuickBooks, draw package preparation, and month-end close tasks.
What you'll bring
- 3–5 years of experience in accounting, contract administration, or project accounting; construction industry background strongly preferred.
- Proficiency in QuickBooks, Microsoft Excel, and Outlook, plus experience with Procore or a similar construction management platform.
- Familiarity with DocuSign or similar e-signature tools.
- Working knowledge of lien laws, lien releases, and pay application processes (California-based projects).
- Understanding of construction insurance requirements (GL, auto, workers' comp, umbrella, additional insured endorsements).
- Exceptional organization and attention to detail, with strong written and verbal communication skills.
- Ability to self-direct, manage multiple deadlines, and follow up assertively but professionally with subcontractors and vendors.
- Reliable internet connection and a professional remote work setup.
