You'll play a critical role in supporting day-to-day operations, coordinating people and processes, and ensuring that team members have what they need to be successful. From managing schedules and onboarding logistics to organizing team events and travel, you'll help create an exceptional employee experience while enabling the Operations team to focus on high-impact work.

About the Role
~2 min readAs Operations & Events Coordinator, you'll be a key member of the Operations team, providing administrative and organizational support across a variety of business activities. You'll help coordinate schedules, support onboarding activities, manage office and equipment logistics, and ensure operational details are handled seamlessly.
You'll be someone who anticipates needs before they arise, follows through on commitments, and brings a high degree of professionalism and attention to detail to everything you do.
What You'll Do:
- Manage Calendars & Scheduling: Support the Operations team with calendar management, helping balance meetings, strategic work, and other priorities while ensuring schedules remain organized and efficient.
- Support Employee Onboarding: Help coordinate onboarding schedules, prepare welcome packages, and partner with team leaders to ensure new hires have a seamless start from day one.
- Manage IT & Equipment Logistics: Coordinate laptop orders, equipment provisioning, shipments, returns, and related logistics to ensure employees have the tools they need to succeed.
- Drive Operational Coordination: Prepare meeting notes and action items from Operations team meetings and leadership sessions, ensuring key decisions and follow-ups are documented and tracked.
- Handle Workplace Logistics: Manage co-working space reservations, coordinate office-related needs, manage incoming mail and support day-to-day operational administration.
- Plan Team Events & Experiences: Organize team events, offsites, team dinners, and other employee engagement activities, including restaurant reservations and entertainment arrangements.
- Coordinate Travel & Business Logistics: Assist with travel bookings, itineraries, and agendas for business trips and team gatherings.
- Keep the Operations Team Running Smoothly: Anticipate needs, solve problems proactively, and continuously look for ways to improve administrative processes and team efficiency.
Requirements

- 2+ years of experience in an Administrative Assistant, Executive Assistant, Office Manager, Operations Coordinator, Events Coordinator, or similar support role
- Excellent organizational skills with exceptional attention to detail
- Strong written and verbal English communication skills
- Ability to manage multiple priorities simultaneously in a fast-paced environment
- Experience coordinating calendars, meetings, travel, logistics, or events
- Strong sense of ownership and follow-through with the ability to work independently
- Proficiency with Google Workspace (Docs, Sheets, Calendar) and modern collaboration tools such as Slack and Zoom
- Professionalism, discretion, and sound judgment when handling confidential information
- A proactive, service-oriented mindset and a desire to help others succeed
