Job Summary
- The Production Coordinator supports the day-to-day operations of Livespot productions by providing administrative, logistical, and coordination support across studio-based and remote projects.
- This role focuses on execution and support rather than ownership of budgets or strategic decisions, ensuring that productions run smoothly under the direction of the VP Livespot Studios and Production Manager.
Principal Duties and Responsibilities
- Provide administrative and logistical support to the Production Manager, Line Producer, and wider Production team.
- Assist with coordinating studio and remote production activities, including scheduling equipment, crew, and facilities as directed.
- Support project planning by helping to collate production information, scripts, schedules, and call sheets.
- Track production documentation, including contracts, release forms, permits, insurance documents, and production reports.
- Liaise with crew members, vendors, and suppliers to communicate schedules, requirements, and updates.
- Support basic budget tracking by logging expenses, invoices, and petty cash records for review by the Production Manager.
- Assist with travel, transportation, and accommodation arrangements for cast and crew.
- Coordinate logistics for shoots, rehearsals, and production meetings.
- Ensure production paperwork is properly filed, updated, and stored in line with company policies.
- Support post-production processes by helping to track deliverables, edit schedules, and documentation.
- Ensure all production footage is filed, archived and stored optimally on the company server and external hard drives.
- Escalate any operational issues, delays, or risks to the Production Manager promptly.
Qualification, Competency & Skills Required
- A university degree or diploma in a related field such as media studies, communications, project management, or a related discipline.
- Previous experience as a Production Assistant or in a junior production role is preferred.
- Strong organisational and time-management skills with attention to detail.
- Ability to manage multiple tasks simultaneously in a fast-paced production environment.
- Basic understanding of production workflows and on-set operations.
- Proficiency in Microsoft Office tools (Word, Excel, PowerPoint) and Google Workspace.
- Willingness to learn and grow within a production environment.Negotiation: be confident at negotiating and managing a wide range of deals and contracts, ensuring everyone understands what needs to happen, when and why.
- Technology: keep informed of new technologies and advancements and identify the most efficient and cost-effective ways of working.
- Teamwork & Excellent communication: display an aptitude for good team working, support for colleagues and the ability to juggle a number of different tasks and personalities at any one time whilst staying calm under pressure.
- Experienced Microsoft Office user, particularly Word, Excel, and PowerPoint.
- Competent Internet, Email, and Google applications user.
