Serves as the first point of contact for employee benefit and leave questions and supports the day-to-day administration of the company’s health and welfare, retirement, and leave programs. Responsible for benefit enrollment processing, Dayforce data entry related to benefits, monitoring carrier file feeds, monthly billing reconciliation, and administration of routine leaves of absence in AbsenceSoft. Works under the guidance of the Benefits Analyst and HR Benefit Manager and escalates complex matters as appropriate.
Responsibilities
~2 min read- →Answers phones, directs calls, and responds to employee questions regarding benefit eligibility, coverage, claims, and leaves of absence; escalates complex issues to the Benefits Analyst.
- →Processes new hire benefit enrollments, qualifying life events, and benefits terminations in Dayforce, ensuring required documentation is received and complete.
- →Enters and maintains employee benefit in Dayforce and other benefit systems as needed, ensuring accuracy across systems.
- →Monitors benefit file feeds to carriers and vendors, identifies eligibility errors, and works with carriers to resolve discrepancies in a timely manner.
- →Assists with the annual open enrollment process, including Dayforce testing, employee communications, answering employee questions, and auditing elections.
- →Opens and manages routine leave of absence cases in AbsenceSoft from intake through return to work, including issuing FMLA and state leave notices, designation letters, and certification requests within required timeframes.
- →Tracks leave balances, certifications, and return-to-work dates and keeps managers informed of employee leave status.
- →Coordinates with Payroll to ensure leave status and pay are accurately reflected between AbsenceSoft and Dayforce, including processing of standard short-term disability (STD) claims and payments.
- →Escalates intermittent, complex, or disputed leaves and all ADA accommodation requests to the Benefits Analyst.
- →Reconciles monthly carrier and vendor invoices against Dayforce enrollment data, flags variances, and processes vendor bill payments.
- →Administers COBRA notifications and new hire benefit materials and coordinates with the COBRA vendor.
- →Files and maintains all benefit records in accordance with confidentiality and retention requirements.
- →Runs standard benefit and leave reports from Dayforce and AbsenceSoft as requested.
- →Maintains benefit guides, benefit website, FAQs, and intranet content.
- →Assists with special projects as requested and performs additional duties as required.
Requirements
~1 min readHigh school diploma or equivalent required; Associate’s or Bachelor’s degree (B.A. or B.S.) in Human Resources, Business, or a related field preferred. Zero to two years of experience in human resources, benefits, payroll, or customer service.
- Basic knowledge of, or strong interest in learning, employee benefit and leave of absence concepts, practices, and procedures.
- Outstanding attention to detail and organizational skills. Must be able to maintain data accuracy across several separate systems.
- Outstanding written and verbal communication skills to interact with a variety of people inside and outside of the organization.
- Customer-service orientation with the ability to explain benefit information clearly to employees.
- Ability to handle multiple priorities within time constraints and deadlines.
- Proficiency with Microsoft Excel and Office; experience with Dayforce or a similar HRIS preferred; AbsenceSoft or other leave management system experience a plus.
- Must have the ability to quickly learn systems, processes, and procedures.
- High degree of professionalism and confidentiality, including handling of sensitive medical and personal information.
