Construction Estimating & Operations Coordinator

Measure and organize material quantities based on plans and specifications
Prepare bid spreadsheets and support pricing workflows
Organize takeoff information into the company’s bid format for review and submission
Support bid preparation across 4–6 active projects per month
Coordinate ordering of specialized construction materials based on approved bids
Track material requirements and purchase timing for active projects
Follow up with suppliers regarding pricing, availability, and order timelines
Help transition bid information into active procurement workflows
Track labor usage, employee hours, and project cost progress against original bid estimates
Monitor project spending and identify potential overruns
Support change order tracking and documentation
Maintain visibility on project budget performance
Support invoicing workflows tied to approved bids and active project progress
Assist with project documentation, billing records, and financial tracking
Help maintain accurate internal records tied to project costs and materials
Support operational admin tasks tied to project execution
Attend internal and architect-facing project meetings for project context and planning support
Capture relevant project details to improve bid accuracy and planning
Support workflow continuity between sales conversations, estimating, and execution
Help improve internal operational workflows as the company grows
Requirements
~1 min read3–5 years of experience in construction estimating, construction coordination, project administration, or construction operations
Strong understanding of residential construction plans and building workflows
Experience supporting construction takeoffs, bid preparation, or quantity estimating
Experience coordinating material orders and supplier communication
Strong spreadsheet skills for bid preparation, cost tracking, and pricing organization
Strong organizational skills and ability to manage multiple active projects
Strong written and verbal communication skills
Ability to work independently and execute with minimal supervision
Ability to attend meetings with US-based overlap
Nice to Have

Experience reading CAD or construction drawings
Experience with QuickBooks for invoicing and billing workflows
Spanish-speaking ability for subcontractor communication
Experience supporting U.S.-based residential construction companies
