The European Society of Radiology (ESR) is a non-political and non-profit organisation dedicated to strengthening and uniting European Radiology. With more than 135,000 members worldwide, it has become the largest radiological society that organises one of the most innovative scientific congresses in this field, the European Congress of Radiology (ECR), in Vienna.

We are looking for a committed full-time team member (38.5 hours) to support our Committee & Board Affairs team.

The Committee & Board Affairs department supports the ESR Board of Directors, the Executive Council, its wide range of committees and subcommittees. We coordinate their meetings, support elections and appointments, guide governance processes, and help deliver the programmes that serve our members.

Our work is highly collaborative, and we depend on one another every day. We value openness and a positive attitude just as highly as skills and experience, and we are looking for someone who enjoys being part of a close-knit team.

  • Coordinate committee and subcommittee meetings end to end: agendas, invitations, presentations, and minutes
  • Provide administrative support across the team, including correspondence, scheduling, and data maintenance
  • Maintain accurate lists and databases, and keep committee records up to date
  • Coordinate scheduling and meetings at the European Congress of Radiology (ECR)
  • Support programmes and initiatives for early-career members and on diversity, inclusion, and sustainability, from planning through to delivery
  • Administer the Young Programme and the Green ID Certification, coordinating applications, records, and communications
  • Support the Society's presence at external congresses, including preparing materials and on-site coordination, with occasional international travel
  • Prepare presentation materials such as PowerPoint slides and factsheets, and assist with website updates

Requirements

  • Completed education at high school level and/or university degree
  • Excellent command of English
  • German and other languages are an asset
  • Strong written and oral communication skills
  • Proficient in MS Office and Google Workspace (particularly MS Excel and Google Sheets)
  • Experience in administration, team assistance, association/non-profit work, event or programme coordination is an asset
  • Outstanding organisational, prioritisation, and problem-solving skills, with a keen eye for detail
  • Open, positive, and collaborative, with a genuine willingness to support colleagues
  • Able to work independently while contributing to a closely interlinked team
  • High level of stress resistance and resilience
  • Willingness to travel
