• Operational Duties: o Fleet Management and Maintenance: - Develop and implement fleet policies, procedures, and best practices to enhance operational efficiency. - Manage fleet capacity planning to align with seasonal and project-based demand fluctuations. - Oversee the implementation of telematics and fleet management software to improve tracking and reporting. - Lead initiatives to improve sustainability in fleet operations, such as fuel efficiency and carbon footprint reduction. - Conduct regular audits on vehicle condition, driver compliance, and route effectiveness. - Plan and supervise vehicle replacement and disposal strategies to maintain fleet reliability. - Oversee day-to-day fleet activities, including driver and courier scheduling, dispatching, and route optimization. - Monitor vehicle performance, maintenance schedules, and ensure timely servicing and repairs. - Ensure compliance with safety regulations, company policies, and transportation standards. - Manage driver and courier performance, including training, discipline, and performance evaluations. - Implement and monitor tracking systems for vehicle usage, fuel consumption, and delivery timelines. - Handle emergency responses related to vehicle breakdowns or accidents. o Safety and Compliance: - Ensure compliance with local regulations governing vehicle operations, including HSE requirements. - Implement safety programs and policies to minimize accidents, injuries, and property damage. - Develop and implement protocols for dealing with accidents and emergencies. - Mitigate risks associated with fleet operations, like vehicle breakdowns or driver violations. o Record Keeping and Reporting: - Maintain accurate and up-to-date records of fleet-related documentation, including vehicle registrations, insurance, and licensing. - Prepare regular reports on fleet performance, maintenance activities, costs, and other relevant metrics for management review. - Utilize fleet management software or systems to streamline data management and reporting processes. • Financial Duties: o Fleet Budgeting and Cost Control: - Develop and manage the fleet budget, including forecasting expenses, monitoring costs, and identifying opportunities for cost savings. - Analyze fleet data and generate reports to track performance metrics, such as fuel consumption, maintenance costs, and vehicle downtime. - Identify areas for operational improvements and cost reduction, such as optimizing routes, improving fuel efficiency, or negotiating favorable contracts with suppliers. - Prepare reports on fleet finances for upper management. These reports typically detail expenses, fuel consumption, maintenance costs, and overall fleet performance metrics. - Review and approve service provider invoices related to fleet operations. - Optimize resource allocation to improve cost-effectiveness of fleet operations. o Fleet Financial Management: - Forecast fleet asset life cycles and recommend vehicle acquisitions or disposals to optimize long-term investment. - Negotiate contracts with vehicle suppliers, maintenance providers, and fuel vendors for cost efficiency. - Conduct financial analysis on fleet ROI, leasing vs. purchasing decisions, and total cost of ownership. - Monitor fines, penalties, and insurance claims to reduce financial exposure. - Lead initiatives to reduce idle time, fuel wastage, and unnecessary overtime, thereby cutting operational costs. • Team Management Duties: o Manage the staff effectively: - Hire, train, and motivate employees. - Tracking employees’ performance. o Maintain a safe work environment: - Maintain a safe and efficient work environment. - Following all safety regulations and procedures. - Providing employees with training of health and safety perspectives. • Customer Satisfaction Duties: o Provide internal\external excellent customer service: - Establish and maintain relationships with vehicle suppliers, leasing companies, parts vendors, and service providers. - Works closely with customers to understand their specific shipping requirements, including timelines, pick-up and delivery locations, special handling instructions, and cost considerations. - Deals with unexpected issues that arise during transport, such as delays or damaged goods. - Works closely with dispatchers to ensure efficient assignment of vehicles and drivers based on customer needs, route optimization, and driver availability. - Coordinate with internal departments such as procurement, warehousing, and customer service to align fleet operations with business needs. - Serve as the main point of contact for drivers, couriers, and service providers, ensuring clear communication and prompt issue resolution. Requirements Qualifications: • Education: - Bachelor's degree in business administration, logistics, or a related field. • Years of Experience: - Minimum of 10-12 years of experience. - Minimum of 3 years of experience in a managerial role preferably in related field. - Proven experience in fleet operation and transportation department. • Certificates: - MBA Certificate. - Certified Transportation Professional (CTP). - PMP Certificate is a plus.
