We are looking for a Corporate Administrator to join our Corporate-CapEx and Facilities team in Calgary, AB. Reporting to the Manager, Procurement, Supporting the effective administration and management of Northview’s national contracts, the Contracts Administrator is key to ensuring contractual obligations, service standards and financial requirements are consistently met across the residential portfolio. This role serves as a key point of contact for internal teams and external suppliers, supporting contract administration, supplier performance, reporting and continuous improvement initiatives. Through effective contract oversight and administration, the Contracts Administrator helps optimize revenue, manage costs, mitigate contractual risk and support the efficient delivery of services across Northview’s properties.
Responsibilities:
• Act as the primary contact within Operations for national contracts and contractual matters, serving as a liaison between internal customers, departments, and external parties on matters affecting contracts and agreements
• Administer revenue contracts, including revenue optimization, day-to-day contract management, reporting, identification of new opportunities, and management of contractual requirements
• Administer service contracts, including cost reduction initiatives, day-to-day management, reporting, adherence to service standards, and management of contractual requirements
• Maintain the contract database, including tracking expenditures, rebates, supplier incentives, and service provider information
• Review proposed contract modifications and collaborate with internal business partners and third parties to negotiate terms and obtain required approvals
• Establish and maintain contract files, ensuring confidential information and records are accurately maintained and accessible as required
• Monitor supplier compliance with contractual requirements, service standards, and performance specifications
• Assist with supplier and contract performance evaluations, scorecards, and conflict resolution
• Collaborate with managers to share and implement best practices related to contracts and facilities
• Establish and maintain reporting metrics and documentation related to contracts and facilities
• Maintain and implement processes that support the continuous improvement of contract administration practices
• Manage internal and external communications and inquiries related to contracts and contractual matters through email, telephone, and postal correspondence
Requirements
~1 min read• 3+ years of experience in contract administration, property management, project management, or a related field, preferably within a large or multi family residential environment
• Previous experience working with Yardi or similar ERPs an asset
• Experience in facilities, homebuilding, or property management an asset
• Intermediate proficiency with Microsoft Office applications
• Strong organizational, time management, and prioritization skills, with the ability to manage multiple priorities and meet tight deadlines
• Self-motivated and proactive, with the ability to work independently and effectively as part of a team
• Strong attention to detail and accuracy when reviewing and administering contracts and related documentation
• Excellent written and verbal communication skills, with professional email and telephone etiquette
• Ability to work effectively in a fast-paced environment and remain organized under pressure
• Ability to maintain accurate records and documentation and follow established processes and procedures
