The Materials Coordinator is responsible for ensuring accurate material control, inventory management, SAP transaction integrity, receiving accuracy, and uninterrupted material flow throughout the plant. This position serves as the primary operational resource for inventory accuracy, material transactions, customer shipping support, shortage resolution, and inventory-related problem solving.
The Materials Coordinator works closely with Production, Shipping, Receiving, Customer Service, and Suppliers to ensure material availability, accurate inventory records, and timely shipment execution.
The ideal candidate is highly organized, detail-oriented, knowledgeable in SAP inventory management, and capable of balancing multiple priorities in a fast-paced manufacturing environment.
Inventory Management & Accuracy
- Maintain accurate inventory records through timely and accurate SAP transactions.
- Perform and coordinate daily, weekly, monthly, and annual cycle count activities.
- Investigate and resolve inventory discrepancies and inventory variances.
- Support physical inventory planning and execution.
- Monitor and maintain inventory accuracy for direct materials, service materials, stores inventory, and finished goods.
- Review and correct inventory issues impacting production, shipping, or customer requirements.
SAP & System Transactions
- Execute inventory transactions in SAP accurately and timely.
- Investigate, resolve, and clear COGI errors.
- Process material receipts, transfers, adjustments, and inventory corrections.
- Maintain accurate material locations and inventory status within SAP.
- Support SAP compliance and data integrity initiatives.
- Assist with troubleshooting inventory and transaction-related system issues.
Receiving & Material Control
- Verify receipts against packing slips, ASNs, and purchase orders.
- Process receiving transactions and material receipts in SAP.
- Identify and resolve receipt discrepancies.
- Manage blocked stock and material hold situations.
- Coordinate material put-away activities and ensure location accuracy.
- Support supplier-related material concerns and communication.
Shipping & Customer Support
- Support customer shipping requirements and shipment accuracy.
- Process Toyota manifests, kanbans, and other customer-specific documentation.
- Assist with customer shipment issues, expedites, and short-shipment recovery efforts.
- Investigate shipping discrepancies and implement corrective actions.
- Coordinate with Shipping, Production, and Customer Service to meet customer delivery requirements.
Material Shortage & Problem Resolution
- Monitor and communicate material shortages impacting production.
- Coordinate recovery plans for material shortages and inventory discrepancies.
- Support customer and supplier communication regarding material-related issues.
- Ensure timely resolution of material flow disruptions.
- Escalate critical issues to the Materials Manager when necessary.
Shift Communication & Handoff
- Maintain clear communication with Production, Shipping, Receiving, and Materials personnel.
- Document and communicate material concerns, shortages, expedites, and inventory issues during shift handoffs.
- For Afternoon Shift positions, provide detailed end-of-shift status updates to Night Shift leadership regarding:
- Material availability
- Production requirements
- Inventory concerns
- Shipment priorities
- Open shortages
- Critical inbound or outbound deliveries
- Safety & Quality Focus: Creates a vision of a safe, ethical, sustainable environment and drives the organization towards it.
- Empowers & Develops: Promotes a learning culture through coaching, stretch opportunities, sharing expertise and providing honest and helpful feedback.
- Strategic Thinking: Develops strategic plans for their part of the business by setting short and long-term goals and objectives.
Requirements
~1 min read- Associate degree in Supply Chain, Business, Operations, or related field, or equivalent manufacturing experience.
- Minimum 3 years of experience in a manufacturing materials, inventory control, logistics, or supply chain environment.
- Experience using SAP or equivalent ERP system.
- Strong inventory control and problem-solving skills.
- Proficiency in Microsoft Excel, Outlook, and Microsoft Office applications.
- Strong organizational and communication skills.
- Ability to prioritize and manage multiple responsibilities simultaneously.
- Automotive manufacturing experience.
- Knowledge of OEM customer requirements (Toyota, Stellantis, Honda, GM, etc.).
- Experience with ASN processing, EDI transactions, and customer logistics requirements.
- Understanding of cycle count programs, inventory reconciliation, and warehouse operations.
- Lean manufacturing and continuous improvement experience.
