Planned Parenthood of Maryland (PPM) is seeking a detail-oriented, customer-service-driven Medical Office Assistant (MOA) to join our clinical operations team at our Baltimore Health Center. As the first point of contact for our patients, you will play a vital role in creating a warm, respectful, and efficient healthcare environment. Reporting to the Health Center Manager, the Medical Office Assistant keeps our health center running smoothly. You will guide patients through registration, manage appointment scheduling, verify insurance eligibility, and ensure every client feels supported and informed from the moment they walk through our doors or call our center. For candidates eager to grow, the MOA role also serves as a fantastic springboard into healthcare operations and clinical support pathways within PPM.
- Champion the Patient Experience: Politely and promptly greet clients, answer telephone inquiries, and conduct verbal registrations with empathy, cultural humility, and non-judgmental care.
- Coordinate Appointments & Eligibility: Schedule patient visits, conduct financial and insurance eligibility screenings, perform next-day appointment preparations (confirmation calls and coverage verification), and offer community referrals.
- Ensure Data & Record Integrity: Accurately enter client details into our Electronic Practice Management (EPM) and Electronic Health Record (EHR) systems while strictly protecting patient rights and HIPAA confidentiality.
- Advance Health Center Operations: Assist with daily cash balancing, route incoming medical records, maintain quality assurance logs, and contribute to clinic wait-time and productivity goals.
- Support Team Success: Maintain a collaborative, positive attitude with the health center manager, clinicians, and Medical Assistants.
- High School Diploma or GED required.
- Experience (any of the following pathways):
- At least 6 months to 1 year of experience working in a healthcare setting performing front office duties; OR
- Minimum of 2 years of customer service experience.
- High level of detail orientation, strong cash-handling skills, and comfort navigating computerized health record systems (MS Office, EPM/EHR).
- Ability to multitask at a busy front desk while maintaining empathy and calm under pressure.
- Preferred: Medical Assistant certification or graduation from an accredited MA program.
- Preferred: CPR certification (or willingness to obtain immediately upon hire).
- Bonus: Bilingual fluency in English and Spanish is a major plus! (Candidates who pass our language assessment for clinical-level fluency receive an additional $1.00 per hour of pay!)
