The EPIC Analyst works across departments to leverage the EPIC practice management and EHR system to meet the needs of the affiliate for clinical services and patient privacy, appointment scheduling, revenue cycle management, and reporting. The EPIC Analyst is the primary liaison with the affiliate’s managed service organization, BetterHealth (BH), and leads a cross functional workgroup of Epic stakeholders within the affiliate.  
 
 
Schedule: 
Full-Time position working 40 hours per week Monday – Friday.  Hours may vary between 9AM and 6PM. 
 
Hybrid Work Style; 20% Travel throughout affiliate service area of SC, NC, and VA.

  • Ability to work autonomously and collaboratively.  
  • 3-5 years experience in IT
  • Experience with Electronic Health Records, ideally Epic Ambulatory, and practice management systems in a multi-site organization.
  • Must be able to prioritize and manage multiple projects and demands.
  • Excellent written and verbal communication skills. Demonstrated ability to communicate clearly without using technical jargon.
  • Must be able to work independently.  
  • The EPIC Analyst performs a wide range of duties including, but not limited to, the following: 
     
    General Oversight: 
  • Responsible for ensuring affiliate, primarily Epic stakeholders, and end users stay up to date on any Epic maintanence and updates. As reasonably possible loops in training and the clinical trainer early to ensure training cirrculum and on-line resources and support provided to staff are up to date prior to implemented changes. 
  • Ensure Epic stakeholders and the affiliate in general is utilizing Epic to it’s fullest potential by having a general understanding of each stakeholders needs, and how their operations/work interface with the system. Actively identifies opportunities for increases in system and workflow efficiency related to the use of Epic.
  • Serve as the resident EPIC subject matter expert and resource for Epic stakeholders for troubleshooting, creating workflows, and general questions. May at times need to support Epic stakeholders in their work with BetterHealth. 
  • Act as the affiliate’s primary liasion with BetterHealth ensuring stakeholders and end users are being fully supported by each of BetterHealth’s Epic service area. 
  • Lead the Epic cross functional workgroup (comprised of Epic stakeholders) by tracking and analyzing the agreed upon metrics, setting the meeting frequency and agenda, and assigning work as necessary. 
  • Closley monitor the BetterHealth shared resource site, Epicenter, and other communications from BetterHealth, for new information and determine best way to communicate and share with affiliate. 
  • Attend or ensure affiliate representation at BetterHealth meetings and workgroups. Identifies optimization and system expansion opportunities available within BH to bring to the affiliate steering committee and stakeholders. Oversees the implementation of any chosen projects. 
  • Responsible for reporting to and collaborating with the Epic Steering Committee regarding strategic and significant descisions and initiatives related to Epic. This will be accomplished through regular attendance of committee meetings, development of the meeting agenda, and identifying when other communication or meetings are necessary. 
  • May lead other IT focused projects and intiviates.
  • System Configuration:
  • Work in close partnership with Clinical Leadership and Patient Services Operation in building, revising, and evaluating system personalization tools and workflows. 
  • Responsible for configuration and workflow related to billing needs. Collaborate with the Director of Revenue Cycle  to ensure available charge codes and fee schedules are appropriate to affiliate payors and service costs. 
  • Coordinate with BetterHealth to create forms in system for electronic signature. 
  • Collaborate with IT in new user access, provisioning, and deprovisioning. This includes: 
  • Determining appropriate security access based on role
  • Identifying when access needs change
  • Coordinating the necessary steps for the provisioning and deprovisioning of licensed staff
  • Perform necessary testing in advance of of system migrations and updates. Coordinate the dissemination of information to stakeholders and end users regarding changes and impacts, as needed. 
  • Assist with workflow analysis and configuration. 
  • Ensure CarePath configuration meets affiliate needs and Medical Standards &Guidelines requirements, partnering with Epic stakeholders as needed. 
  • Collaborate with affiliate scheduling SMEs to set up and maintain appointment scheduling templates. 
  • Collaborate with affiliate stakeholders and BH to ensure the build and maintenance of all necessary reports in the dashboard and SlicerDicer. 
  • End User Support: 
  • In partnership with the cross functional workgroup and the IT department establish the triage protocol, and owners of tickets. 
  • Provide help desk support on Epic use and ancillary equipment to all end users. 
  • Troubleshoot with affiliate stakeholders and/or vendors as issues arise. 
  • Coordinate with the necessary PPSAT Affiliate Service Liaisons (ASLs) to ensure the timely submission of and follow up on BetterHealth service tickets. 
  • End User Training: 
  • Partner with the Training Team to ensure training curriculum remains up to date. Proactively collaborate with the Training Team as updates and changes happen. Participate in training events, as needed. 
  • Is responsible for maintaining the affiliate training environment as a copy of the production environment between BH-led copies. 
  • Data Integrity and Reporting: 
  • Act as a conduit for the affiliate and BH for any EPIC reports needs, either partnering with the BH team to ensure understanding of our report needs or building and train end users on reports.
  • Build custom EHR reports as needed.
  • Collaborate with compliance on data audit requirements and processes.

    Compensation: 
    PPSAT's compensation philosophy is based on equity and transparency.  Each job at PPSAT is assigned a salary grade built on market data.  For an individual coming into PPSAT, we set a pay generally between the minimum and the midpoint of the salary grade and based on candidate qualifications.  The pay range for this position is $69,690.00 to $89,890.00 paid annually.
