The Inside Sales Specialist (German Basic Level) is responsible for delivering excellent customer support to German-speaking customers by managing orders, quotations, offers, and customer inquiries throughout the full order-to-cash cycle. This role acts as a key liaison between customers, sales, planning, finance, and technical teams, ensuring high customer satisfaction, operational efficiency, and compliance with company policies.
Answer customer telephone and written inquiries related to orders, service needs, complaints, and general product or service information.
Resolve customer requests where applicable or route them efficiently to Sales, Technical Support, Planning, or other relevant departments.
Serve as the primary point of contact for assigned customers, ensuring professional, timely, and customer‑oriented communication.
Manage customer escalations, ensuring prompt resolution and effective coordination with internal stakeholders.
Create and manage sales offers and quotations in line with defined pricing policies, discount guidelines, and approval processes.
Ensure governance of sales order margins and escalate deviations as required.
Perform accurate sales order entry, order confirmation, and order maintenance in ERP systems.
Manage offer tracking and follow‑ups to support conversion from offer to order.
Maintain and update price lists in collaboration with Sales and Finance.
Communicate customer requests, priorities, and changes to the planning and supply chain teams.
Monitor and manage order tracking activities, proactively informing customers about order status, delivery timelines, delays, and changes.
Ensure timely and accurate communication regarding expected delivery and final delivery confirmation.
Provide administrative customer support for invoicing, returns, credit notes, and transport documentation, liaising closely with Finance, Logistics, and relevant departments.
Support claim management processes, coordinating investigations and resolutions with internal teams.
Manage overdue payments in cooperation with Finance, supporting collection activities while maintaining strong customer relationships.
Support new customer onboarding, including coordination of master data creation, credit limit checks, and alignment with Finance and Sales.
Ensure accuracy and completeness of customer‑related data in internal systems.
Maintain detailed and up‑to‑date knowledge of the company’s products, services, and processes to provide reliable customer guidance.
Previous experience in Customer Service, Sales Support, Order Management, or a similar role.
German Basic Level (B1) and strong English communication skills.
Experience working with ERP systems (e.g., SAP) and CRM tools is an advantage.
Strong organizational skills with the ability to manage multiple tasks and priorities.
Customer-focused mindset with strong problem-solving and communication skills.
Ability to work cross-functionally with Sales, Planning, Finance, Logistics, and Technical teams.

Der Mitarbeiter im Innenvertrieb (Deutsch Grundkenntnisse) ist verantwortlich für die Bereitstellung eines exzellenten Kundenservices für deutschsprachige Kunden, indem er Aufträge, Angebote, Offerten sowie Kundenanfragen während des gesamten Order-to-Cash-Prozesses betreut.
Diese Position fungiert als zentrale Schnittstelle zwischen Kunden, Vertrieb, Planung, Finanzen und technischen Teams und stellt dabei eine hohe Kundenzufriedenheit, operative Effizienz sowie die Einhaltung der Unternehmensrichtlinien sicher.
Beantwortung telefonischer und schriftlicher Kundenanfragen zu Aufträgen, Serviceanforderungen, Reklamationen sowie allgemeinen Produkt- und Serviceinformationen
Bearbeitung von Kundenanfragen, sofern möglich, oder effiziente Weiterleitung an Vertrieb, Technical Support, Planung oder andere relevante Abteilungen
Funktion als zentrale Ansprechperson für zugewiesene Kunden und Sicherstellung einer professionellen, zeitnahen und kundenorientierten Kommunikation
Management von Eskalationen mit zeitnaher Lösung und effektiver Abstimmung mit internen Stakeholdern
Erstellung und Verwaltung von Verkaufsangeboten und Offerten gemäß festgelegten Preisrichtlinien, Rabattvorgaben und Genehmigungsprozessen
Sicherstellung der Einhaltung der Margenvorgaben bei Verkaufsaufträgen sowie Eskalation bei Abweichungen
Sorgfältige Auftragserfassung, Auftragsbestätigung und Pflege der Aufträge in ERP-Systemen
Nachverfolgung von Angeboten sowie Durchführung von Follow-ups zur Unterstützung der Umwandlung von Angeboten in Aufträge
Pflege und Aktualisierung von Preislisten in Zusammenarbeit mit Vertrieb und Finanzen
Kommunikation von Kundenanforderungen, Prioritäten und Änderungen an Planung und Supply-Chain-Teams
Überwachung und Steuerung der Auftragsverfolgung sowie proaktive Information der Kunden über Auftragsstatus, Liefertermine, Verzögerungen und Änderungen
Sicherstellung einer fristgerechten und korrekten Kommunikation zu voraussichtlichen Lieferterminen sowie finalen Lieferbestätigungen
Administrative Betreuung der Kunden bei Rechnungsstellung, Retouren, Gutschriften und Transportdokumenten in enger Abstimmung mit Finanzwesen, Logistik und weiteren relevanten Abteilungen
Unterstützung im Reklamationsmanagement sowie Koordination von Prüfungen und Lösungen mit internen Teams
Verwaltung überfälliger Zahlungen in Zusammenarbeit mit dem Finanzbereich sowie Unterstützung von Inkassoprozessen unter Wahrung einer guten Kundenbeziehung
Unterstützung beim Onboarding neuer Kunden, einschließlich Koordination der Stammdatenerstellung, Bonitätsprüfungen und Abstimmung mit Finance und Sales
Sicherstellung der Richtigkeit und Vollständigkeit kundenbezogener Daten in den internen Systemen
Pflege eines aktuellen und fundierten Wissens über Produkte, Dienstleistungen und Prozesse des Unternehmens, um Kunden kompetent beraten zu können
Berufserfahrung im Kundenservice, Vertriebsinnendienst, Auftragsmanagement oder in einer vergleichbaren Position
Deutsch Grundkenntnisse (B1) sowie sehr gute Englischkenntnisse
Erfahrung im Umgang mit ERP-Systemen (z. B. SAP) und CRM-Tools von Vorteil
