The Operational Quality Specialist is responsible for ensuring first-line quality assurance across the Lending Operations lifecycle. The role safeguards compliance, identifies process and control gaps, and supports continuous improvement through structured review, reporting, and collaboration with key stakeholders across Credit, Settlements, and Compliance.

Key Responsibilities:

• Conduct first-line quality checks in core lending systems (e.g. Polaris, Capital, LoanTrak) to confirm data accuracy and adherence to policy.
• Review credit decisions and settlement documentation to ensure compliance with delegated authorities and product standards.
• Review post settlement servicing and broker records according to sampling and testing instructions to determine compliance, accuracy, and customer service outcomes.
• QA records, log findings, and report exception trends.
• Review and escalate AML/CTF-related queries (ID verification, PEP/sanction checks, transaction anomalies).
• Responsible for making sure that data updates and or changes as well as data discrepancies to be actioned are communicated and must also make sure that these are actioned as required
• Support compliance audits, remediation reviews, and AML reporting.
• Ensure audit readiness by maintaining clear documentation of findings and actions.
• Conduct Pool Cut and portfolio validation to ensure accuracy between origination (Polaris) and servicing (Capital) systems.
• Support Hindsight and internal audit reporting with detailed QA insights and exception tracking.
  
• Maintain QA dashboard and key performance metrics for management oversight.
• Provides answers to queries and concerns from other staff and works with Team Leader to find solutions
• Collaborates with stakeholders to resolve and address QA related issues
• Acts as co-project Lead during an “RMBS Sale” or Audits by funders, external auditors, and other stakeholders
• Participate in testing of system-based enhancements
• Provide back-up coverage for other teams as required
• Support onboarding of new staff; share process updates and ensure alignment with new product launches or policy changes.

Qualifications: 

•   Graduate of any 4-year Business Course

•   Minimum 2 years’ experience in quality assurance, lending operations, settlements, or credit support (Mortgages, Commercial or SMSF lending experience highly regarded).
•   Sound understanding of credit policy, operational controls, and AML/CTF requirements.
•   Strong analytical skills with proven ability to identify process gaps and data discrepancies.
•   Excellent attention to detail, data accuracy, and documentation quality.
•   Proficient in Microsoft Office suite and loan origination systems (experience with Polaris, LoanTrak or Capital is an advantage).
•   Strong verbal and written communication skills, able to liaise confidently with Credit, Compliance, and external legal partners.
•    Proficient knowledge in Microsoft Office (Excel, Word, Powerpoint, Sharepoint)
•    Must be hard working, friendly, energetic and willing to work under pressure
•    Willing to work beyond required hours if needed and punctual at all times
•    Must have a good sense of responsibility and initiative
