The Tax Operations Specialist is responsible for the accurate execution of tax-related operational processes, including data maintenance, transaction processing, and support for tax reporting and payment activities. This role serves as the foundation of the tax operations function, ensuring that all underlying data and transactions are complete, accurate, and prepared for downstream review and oversight.

MAJOR RESPONSIBILITIES:  

  • Execute core tax operations activities, including tax reporting support, withholding processing, remittances, and reconciliations.
  • Maintain and update client tax information within internal systems, ensuring accurate classification, coding, and completeness of data.
  • Prepare tax data and supporting documentation used for reporting and external tax preparation processes.
  • Assist with Required Minimum Distribution (RMD) calculations and processing.
  • Ensure all tax-related transactions are processed accurately and within required deadlines.
  • Compile and organize data required for tax reporting and external tax preparation, ensuring completeness and accuracy prior to submission.
  • Perform initial reviews of tax forms and reports (e.g., 1099s, 1041s, 990-PFs, 5498s) to identify obvious discrepancies or missing information.
  • Escalate issues, inconsistencies, or questions to Analysts or senior team members for further review.
  • Respond to routine tax-related inquiries from Client Service Associates and Account Officers with a focus on accuracy and timeliness.
  • Provide clear and concise updates on operational status, escalating complex or technical questions appropriately.
  • Collaborate with internal teams to gather information necessary to support tax processing and reporting activities.
  • Maintain organized and audit-ready documentation for all tax transactions, filings, and supporting activities.
  • Follow established procedures and controls to ensure consistency and compliance with internal policies and regulatory requirements.
  • Support documentation efforts by identifying gaps or inconsistencies in existing procedures and escalating opportunities for clarification or improvement.
  • Identify data discrepancies, processing errors, or missing information and take appropriate steps to resolve or escalate.
  • Assist with responding to tax notices and correspondence under the guidance of senior team members.
  • Ensure timely escalation of issues that may impact accuracy, deadlines, or compliance.

 

PROBLEM SOLVING & DECISION MAKING:

Applies established procedures and guidelines to resolve routine operational issues. Exercises attention to detail in identifying discrepancies or errors in data and transactions. Escalates complex, ambiguous, or higher risk issues to Analysts or Managers. Maintains a strong focus on accuracy, timeliness, and adherence to process controls.

 

REQUIREMENTS:      

Education and Experience

  • 1–3 years of experience in tax operations, accounting, or financial services.

  • Exposure to tax reporting processes or financial operations preferred.

  • Bachelor’s degree in Accounting, Finance, or related field preferred.

 

Skills/Knowledge 

  • Strong attention to detail with a focus on accuracy and data integrity.

  • Foundational understanding of tax reporting, withholding, or financial processing concepts.

  • Ability to follow detailed procedures and operate within a controlled, deadline-driven environment.

  • Strong organizational and time management skills, with the ability to manage multiple tasks.

  • Effective communication skills, with the ability to interact with internal stakeholders.

  • Proficiency in Microsoft Office applications, particularly Excel.

 

Working Conditions   This position is “hybrid” requiring a blend of in-office and remote work.
