Position Summary

The Legal Assistant serves as a foundational member of Richmond Vona's Case Management Department and is designed as a developmental role for individuals interested in building a long-term career in personal injury law.


Working alongside experienced Case Managers and Litigation Paralegals, the Legal Assistant provides administrative, client service, and case support while developing the skills necessary to advance into a Case Manager position. Through hands-on training, mentorship, and progressive responsibility, this role offers a structured path toward independent case ownership.


The ideal candidate is organized, compassionate, detail-oriented, and eager to learn. They thrive in a fast-paced environment, communicate effectively, and are motivated by helping injured clients navigate challenging circumstances.

Core Responsibilities

Client Support & Communication

  • Communicate with clients regarding case status, outstanding information, and next steps.
  • Assist in gathering information and documentation needed to support client claims.
  • Help maintain a positive client experience through responsive, professional communication.
  • Manage routine client inquiries and escalate concerns appropriately.
  • Assist with client onboarding and file setup activities.

Case Support & Documentation

  • Support Case Managers and Litigation Paralegals with day-to-day case management activities.
  • Prepare legal forms, correspondence, and case-related documents using firm templates.
  • Review documents for accuracy, completeness, and proper organization before submission or review.
  • Maintain accurate case notes and documentation within the firm's case management system.
  • Organize electronic and physical case files as needed.

Medical Records & Evidence Collection

  • Request, track, and organize medical records, billing statements, police reports, incident reports, and other supporting documentation.
  • Assist with FOIL requests and other records retrieval processes.
  • Review records and documentation for completeness and identify missing information.
  • Organize evidence and supporting materials for attorney and Case Manager review.

Administrative & Case Coordination

  • Coordinate scheduling, follow-up tasks, and correspondence related to assigned cases.
  • Assist with insurance-related communications under appropriate supervision.
  • Track outstanding requests and ensure timely follow-up with providers, clients, and third parties.
  • Support department initiatives designed to improve efficiency and client service.
  • Maintain confidentiality and professionalism when handling sensitive client information.

Professional Development

  • Learn foundational personal injury concepts, including liability, insurance coverage, no-fault benefits, lost wage claims, and medical treatment coordination.
  • Participate in training, coaching, and mentorship opportunities.
  • Gradually assume increased responsibility with the goal of progressing into an independent Case Manager role.
  • Demonstrate a commitment to continuous learning and professional growth.


Qualifications

Required

  • Minimum of one year of experience in a professional office environment.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication abilities.
  • Strong attention to detail and commitment to accuracy.
  • Ability to work independently while collaborating effectively within a team environment.
  • Proficiency with Microsoft Office and other business technology platforms.
  • Demonstrated professionalism, accountability, and adaptability.

Preferred

  • Prior experience in a law firm, insurance environment, healthcare setting, or client-service focused role.
  • Experience working in personal injury law.
  • Familiarity with case management software platforms.
  • Associate's or Bachelor's degree preferred but not required.
