Based in Mill Valley, we're a close-knit, warm, active household of three—complete with one small, older dog and a curious, energetic three-year-old boy who fills our home with lots of love. Grandma is also a beloved part of our family and routinely supports school pickups and attentive, nurturing after-school care. Both parents are incredibly driven and work primarily from home, including their on-property casita, in creative fields that regularly require meeting specific deadlines.

Our home is built around meaningful work, family connection, and a healthy, intentional lifestyle. As a family, we love coming together for dinner, going on bike rides, reading, seeing live music, camping, and spending time near the ocean, which our little one especially loves. We care deeply about a well-run, highly organized home and a healthy, non-toxic environment where our family can flourish. We love fresh, whole foods, being active outdoors, and spaces that feel calm, relaxing, and reset. While we have some systems in place, with a young child and a bustling schedule, keeping everything on track has become overwhelming and is affecting how much quality time we get to spend together.

Although we have regular house cleaners, we’re looking for a highly communicative, detail-oriented, proactive house manager who can fill in the gaps in between—starting with creating and maintaining meaningful systems in our home, tackling laundry and dishes, supporting meal prep and kitchen tidying, resetting spaces, and supporting the mostly remote management of a second property that is located a couple of hours away. This will allow us to spend more quality time together as a family, create more dedicated space for our creative projects, and ensure our home is a calm, relaxing environment where we can recharge.

You are a calm, highly seasoned, and professional house manager— someone who easily reads the room, respects a working household, and brings order without disruption. You're the kind of person who notices what needs to be done—laundry that needs to be started, dishes that need to be unloaded from the dishwasher, rooms that could use a reset, and a vendor that needs to be coordinated for the household’s second property—and you take care of it seamlessly.

You are highly communicative, ask clarifying questions before diving in, and follow through with consistency, attention to detail, and care. You think a few steps ahead, create meaningful systems that truly hold up over time, and take quiet pride in a reset, organized household that runs like a well-oiled machine. You are also incredibly reliable and understand the importance of punctuality and consistency within a family setting.

Your energy is warm and grounded—you would describe yourself as highly detail-oriented, organized, and self-directed. Our ideal fit is someone who naturally anticipates needs, has high emotional intelligence, and takes professional boundaries seriously. You also have excellent time management skills, can balance competing priorities with ease, and are comfortable taking cues from the family's rhythms—you know when it’s appropriate to step in or step back. You must be comfortable and have experience working with dogs and toddlers (age 3), and feel aligned with a lifestyle that values health, wellness, and active, intentional living. While not required, it would be a major bonus if you are bilingual in English and Spanish and are interested in helping nurture a young child's bilingual development.

Responsibilities

  • Daily resets of common areas: tidying, dishes, surfaces, light vacuuming of high-traffic areas
  • Prep the home before weekly cleaners arrive
  • Maintain and improve household organization systems
  • Change batteries, light bulbs, and smoke detector batteries as needed
  • Coordinate donation drop-offs as items accumulate
  • Support packing and unpacking for family travel as needed
  • Assist with event and birthday party prep as needed
  • Wash, fold, and put away family laundry
  • Wash and prep fruits and vegetables
  • Prepare school lunches as needed
  • Occasional grocery runs to specific stores that don't deliver
  • Kitchen cleanup and maintenance
  • Restock pantry, fridge, and household supplies (paper towels, toilet paper, etc.)
  • Manage running household supply list
  • Manage household orders and subscriptions (Amazon, Costco, Target, etc.)
  • Handle returns, occasional dry cleaning, and gift shopping
  • Break down and dispose of boxes
  • Occasional deep cleans: fridge, oven, baseboards
  • Refresh garage, entryway, and mudroom as needed
  • Clean humidifiers and air purifiers
  • Occasionally wash and replace cushion covers
  • Organizational projects (toys, gear, seasonal items) as needed
  • Feed the family dog when the bowl is empty during working hours
  • Let outside and walk occasionally
  • Schedule and transport to vet and grooming appointments
  • Administer monthly medication
  • Provide backup pick-up/drop-off support as needed (approximately once per week)
  • Light supervision and backup childcare
  • Prep backpacks, clothing, and snacks the day prior
  • Occasional date night or overnight coverage
  • Schedule maintenance for family vehicles
  • Occasional fueling, organizing, and light cleaning
  • Research and coordinate home repairs and vendor quotes
  • Manage outdoor spaces: quarterly cushion cleaning, garden tidying, and toy organization as needed
  • Remote management of a second property (coordinating cleaners, vendors, and repairs); occasional on-site visits as needed
  • Reset the on-property casita as needed for guests
  • Travel planning and logistics
  • Event and appointment coordination (medical, school, pet grooming, family appointments)
  • Bill payment support (mailing checks and managing recurring obligations)
