Position Summary:

The Accounts Payable/Receivable Manager leads Shape Corp.'s shared-services accounts payable and accounts receivable functions, ensuring accurate, timely, secure, and well-controlled processing of supplier invoices, payments, customer receipts, and related accounting activity. This role provides day-to-day leadership to the shared-services teams, supports month-end close, resolves complex issues, strengthens internal controls, and partners with plant finance, purchasing, treasury, commercial teams, and other business functions. The position also supports cash positioning, liquidity monitoring, short-term cash forecasting, banking activity, and line-of-credit administration. The Accounts Payable/Receivable Manager owns the consistency, quality, scalability, automation, and continuous improvement of AP/AR and related cash-management processes across the organization, with accountability for service levels, working-capital performance, and control effectiveness.

Essential Job Functions include, but not limited to, the following:

  • Accounts Payable: Oversee end-to-end invoice processing, approval workflows, supplier payments, vendor inquiries, and issue resolution against defined service levels. Review and approve payment runs within delegated authority and segregation-of-duties requirements, with enhanced review of significant, unusual, urgent, or manually initiated items. Monitor aged payables, exceptions, duplicate payments, blocked invoices, unapplied activity, and payment-term compliance; drive timely corrective action.
  • Accounts Payable partnerships and governance: Partner with purchasing, plant finance, and receiving teams to resolve purchase order, receipt, pricing, tax, and invoice discrepancies and improve first-pass match rates. Oversee intercompany payables, supplier escalations, vendor-master governance, and opportunities to standardize, digitize, or automate AP processes while maintaining appropriate controls.
  • Accounts Receivable: Oversee customer invoicing, cash application, account reconciliations, collections activity, credit support, and discrepancy resolution against defined service levels. Monitor aging, past-due balances, disputes, deductions, and collection effectiveness; coordinate escalation and recovery actions with commercial and finance leadership.
  • Accounts Receivable partnerships and reporting: Research unidentified deposits and unapplied cash and oversee intercompany receivables, clearing transactions, and timely account resolution. Partner with commercial, customer-service, plant-finance, and pricing teams to resolve billing, pricing, deduction, and short-payment issues. Maintain actionable reporting and KPIs, including aging, DSO, past-due percentage, collection effectiveness, unapplied cash, dispute cycle time, and root-cause trends.
  • Month-end close and accounting: Ensure AP and AR subledgers are complete, accurate, and closed on schedule, with clear cut-off procedures and ownership of exceptions. Review reconciliations, clearing accounts, accruals, suspense accounts, and related balance-sheet accounts; ensure timely clearance of aged items. Ensure transaction and cash activity is properly recorded in the general ledger and coordinate with Corporate Accounting and plant finance to meet close deadlines and provide concise status and risk reporting.
  • Audit and documentation: Support internal and external audit requests and maintain complete process, reconciliation, approval, account-access, and control documentation.
  • Process ownership, controls, and continuous improvement: Serve as the escalation point for complex customer, supplier, intercompany, banking, and transaction-processing issues. Develop and enforce consistent procedures, controls, approval matrices, and service standards across locations. Lead process improvement and automation initiatives that increase efficiency, accuracy, scalability, user experience, and control reliability.
  • Analytics, systems, and risk management: Use dashboards, exception analytics, and root-cause analysis to identify risk, capacity constraints, and improvement opportunities. Partner with Finance leadership, IT, treasury, purchasing, and business teams on working capital, cash flow, ERP, banking, and accounting initiatives. Establish and monitor role-based system access, segregation of duties, fraud-prevention controls, and secure payment-change verification procedures. Evaluate workflow, RPA, AI-enabled exception handling, and reporting tools while ensuring human review of material or high-risk transactions.
  • Treasury and cash-management support: Monitor cash balances, bank activity, and short-term liquidity requirements across company accounts and legal entities. Prepare daily cash-position reporting and support rolling short-term cash forecasts for expected customer receipts, supplier payments, payroll, taxes, and other significant cash movements. Monitor line-of-credit activity, including draws, repayments, interest, fees, covenant-related reporting inputs, and available capacity.
  • Banking administration: Coordinate with AP, AR, Treasury, and business teams to anticipate significant receipts, disbursements, timing risks, and forecast variances. Investigate unusual, potentially fraudulent, or unreconciled bank activity and support timely bank reconciliations and accurate general-ledger recording. Assist with payment approvals, account access, authorized signers, positive pay, ACH controls, and supporting documentation.
  • Team leadership: Lead, coach, and develop AP/AR team members; set clear goals, service expectations, and accountability for results. Balance workload, staffing, cross-training, and backup coverage to maintain continuity during close cycles, absences, and transaction-volume peaks. Promote a customer-service, continuous-improvement, and controls-focused culture.
  • Key performance measures: Manage AP processing cycle time, on-time payment rate, first-pass match rate, exception volume, duplicate-payment prevention, and discount capture; AR aging, DSO, past-due percentage, collection effectiveness, unapplied cash, dispute cycle time, and bad-debt exposure; and timely close completion, reconciliation quality, aged-item resolution, audit findings, control effectiveness, forecast accuracy, and productivity improvements.
  • Additional functions not specifically outlined in this position description as directed by the leader
