We’re a collaborative, fast-moving team, and we’re looking for a highly organized and proactive Studio Coordinator to help keep our New York studio, team, and day-to-day operations running smoothly.

The Studio Coordinator sits at the heart of the studio and plays an important role in making sure our space, people, and leadership team are supported and organized.

This is a varied and hands-on role for someone who is naturally proactive, resourceful, and happy moving between different priorities. You’ll own the day-to-day studio experience, support team culture and onboarding, coordinate meetings and travel, provide light administrative support to our leadership team, and assist with a range of operational projects across the business.

You’ll work closely with our People & Operations team while interacting with every department at SSS*, making this a great opportunity for someone interested in understanding how a fast-growing creative business operates.

Responsibilities

  • Own the day-to-day running and organization of the New York studio, ensuring it is welcoming, organized, stocked, and running smoothly
  • Manage ongoing studio needs including supplies, snacks, mail, deliveries, equipment, maintenance, storage, and vendors
  • Conduct regular walkthroughs of the studio to ensure shared spaces are tidy, supplies are stocked, and equipment is functioning
  • Coordinate with building management and manage visitor access and building requirements
  • Welcome clients, candidates, freelancers, and other guests to the studio
  • Manage incoming and outgoing packages, documents, couriers, and other shipments
  • Coordinate the disposal, storage, or donation of materials following productions and project
  • Continually look for ways to improve the organization and efficiency of the studio
  • Support company culture initiatives including team events, birthdays, celebrations, team lunches, and other moments throughout the year
  • Coordinate catering, refreshments, and logistical requirements for internal and client meetings and events
  • Support onboarding for employees and freelancers, including laptops, equipment, building access, and other first-day requirements
  • Help coordinate team meetings, conference calls, shared calendars, and team-building activities
  • Support the People & Operations team with ad hoc employee and studio needs
  • Provide light calendar and administrative support to members of the leadership team
  • Coordinate internal and external meetings across multiple calendars and time zones
  • Arrange travel and associated logistics for team members when required
  • Support occasional reservations, expenses, research, and other administrative requests
  • Help ensure leadership meetings, visitors, and key studio commitments are well organized
  • Monitor SSS’s general and new business inboxes, ensuring relevant inquiries are directed to the right people
  • Maintain and update internal databases, including client and industry contacts
  • Provide light recruitment and resourcing support, including reviewing and organizing incoming applications
  • Support freelancer onboarding and associated studio logistics
  • Assist with small operational projects and improvements across the business, including new systems, tools, processes, and studio initiatives
  • Provide general troubleshooting and coordination support for day-to-day technology and equipment needs
  • 1–3 years of experience in a creative studio, agency, office coordination, administrative, hospitality, or similar role
  • Exceptionally organized with excellent attention to detail
  • Proactive and resourceful — you notice what needs to happen and take ownership of getting it done
  • Comfortable balancing recurring responsibilities with unexpected requests and changing priorities
  • Warm, personable, and confident interacting with everyone from new employees and freelancers to senior clients
  • Strong written and verbal communication skills
  • Comfortable coordinating multiple calendars, meetings, and travel
  • Good judgment and discretion when dealing with confidential or sensitive information
  • Confident using Google Workspace and comfortable learning new systems and tools
  • A genuine interest in creative culture, design, fashion, art, entertainment, or related industries is a plus
  • $60,000 - $70,000 annually. Salary for the prospective employee is determined by a combination of factors that include qualifications, applicable skills, relevant experience and other budgetary considerations such as location/geography.
