Job Description & Responsibilities:
We are seeking a highly organized, tech-savvy Real Estate Data Analyst to own our end-to-end data processes. This role involves acquiring, cleaning, and automating property valuations to produce immediate, data-driven offer letters. As a key member of our growing real estate team, you'll have the opportunity to shape our analytics strategy, leverage AI tools, and contribute directly to revenue-driving campaigns.
Key Responsibilities:
- Data Acquisition & Scraping
- Build or manage web scrapers to pull data from various online sources (or manually enter data when necessary).
- Identify and vet new data sources to increase the quality and volume of our lead lists.
- Refine existing scrapers to ensure accuracy and comprehensive lead coverage.
- Data Cleaning & De-Duplication
- Clean and standardize property owner names and addresses across multiple lists.
- Consolidate properties under the same owner to prevent sending duplicate mailers.
- Maintain robust error-checking, data validation, and version-control processes.
- List Creation & Segmentation
- Compile high-value lists for cold calling, direct mail, and other marketing channels.
- Segment leads using filters—such as distressed properties, absentee owners, or location-based criteria.
- Leverage BatchLeads, Excel, and Google Sheets to organize and track segmented lists.
- Property Valuation Automation
- Develop or implement tools to retrieve estimated property values (e.g., via Zillow API or comparable real estate data sources).
- Integrate these valuations into offer-letter templates to streamline direct mail campaigns.
- Collaborate with stakeholders to define valuation thresholds and automate initial offer generation.
- Ongoing List Maintenance
- Update property status (e.g., sold, newly listed) on a weekly or bi-weekly basis to keep data current.
- Set up automated workflows to refresh data from public records or real estate APIs.
- Ensure each lead can be traced back to its original source for end-to-end lead tracking.
- Reporting & Analytics
- Run reports within the CRM to track performance metrics (e.g., response rates, conversion rates) for various lead lists.
- Provide regular summaries of data quality, campaign effectiveness, and areas for improvement.
- Use findings to inform strategic decisions on targeting and resource allocation.
- AI Tool Utilization
- Demonstrate strong proficiency with AI tools such as ChatGPT, Claude, and similar platforms.
- Use AI to optimize data workflows, automate repetitive tasks, and enhance analytics.
- Continually research and recommend new AI technologies that could streamline processes.
- Collaboration & Process Improvement
- Work closely with marketing, sales, and leadership to refine targeting strategies.
- Identify opportunities for automation, new data sources, or improved data hygiene processes.
- Document Standard Operating Procedures (SOPs) for data workflows, ensuring consistency and scalability.
- Administrative Support
- Provide occasional administrative assistance such as booking travel, sending invoices, and handling payments.
- Coordinate with vendors and stakeholders to ensure smooth operational workflows.
- Skip Tracing & Investigative Research
- Locate hard-to-find homeowner contact information when standard phone numbers are not available.
- Utilize social media, TruePeopleSearch.com, TLO (when access is granted), and other investigative tools.
- Employ creative research methods to identify the correct property owner and contact details.
Qualifications & Skills:
- A deep technical understanding of data sourcing / cleaning / tracking / analyzing, automating, and database building
- Web Scraping & Data Extraction: Experience building your own web scrapers.
- Skip Tracing & Investigative Research: Familiarity with social media platforms, TruePeopleSearch.com, TLO, and other investigative tools.
- Real Estate Data Tools: Proficiency in BatchLeads, Excel, and Google Sheets (including advanced formulas, pivot tables, and data cleaning).
- API Integration Skills: Familiarity with Zillow API or similar real estate data sources is highly desirable.
- AI Proficiency: Comfortable using ChatGPT, Claude, or similar AI tools for data analysis and process automation.
- Detail-Oriented: Exceptional accuracy in spotting inconsistencies and preventing duplicates.
- Real Estate Knowledge: Understanding of property records, ownership structures, and market trends.
- Analytical Mindset: Ability to interpret data, run analytics, and make evidence-based recommendations.
- Strong Communication: Excellent collaboration skills, both written and verbal.
- Organizational Skills: Capable of managing multiple projects, tasks, and deadlines effectively.
- Experience working with data required for off-market real estate lead generation.
- Experience with automations via n8n or make.com and GoHighLevel.
- Experience building out databases- specifically with PostregresSQL.
