Our client is a growing, founder-led business with a distributed team of contractors and multiple projects operating simultaneously.

As the business continues to expand, the founder is looking for a highly capable Chief of Staff / Executive Assistant who can bring structure, accountability, and execution support across both business and personal priorities.

This is not a traditional administrative EA role. The successful candidate will act as a trusted right hand to the founder, helping coordinate people, projects, systems, hiring, research, and day-to-day execution.

We are seeking a proactive and highly organized Chief of Staff / Executive Assistant to work directly with the founder.

This person will help ensure that projects move forward, contractors are properly managed, priorities are tracked, and the founder has the operational support needed to stay focused on high-value work.

The ideal candidate is comfortable operating with a high degree of autonomy. They should be able to take a loosely defined objective, determine what needs to happen, organize the moving pieces, and drive the work through to completion.

The role will initially be focused on approximately the scope of a full-time operator, with the opportunity to take on greater responsibility as the business grows.

Responsibilities

  • Oversee a distributed team of contractors and ensure priorities, deadlines, and deliverables remain on track.
  • Coordinate tasks and follow up with contractors to ensure accountability.
  • Maintain visibility into project progress and identify potential delays or issues early.
  • Facilitate communication between the founder and contractors.
  • Help establish clearer workflows, expectations, and reporting processes.
  • Escalate important issues to the founder with appropriate context and recommended next steps.
  • Assist with identifying and hiring new contractors as the business grows.
  • Help develop role requirements, job descriptions, and candidate criteria.
  • Coordinate candidate interviews and maintain hiring pipelines.
  • Support onboarding and ensure new contractors have the information and resources needed to get started.
  • Maintain organized records of contractors, responsibilities, and ongoing performance.
  • Research new business ideas, tools, vendors, opportunities, and potential projects.
  • Turn research into concise summaries and actionable recommendations.
  • Support the founder in evaluating and launching new projects.
  • Take ownership of project-related follow-up and execution once priorities are established.
  • Coordinate multiple projects simultaneously while maintaining clear visibility into status and next steps.
  • Proactively identify what needs to happen next rather than waiting for instructions.
  • Build and maintain systems for tracking projects, tasks, deadlines, and contractor performance.
  • Develop simple reporting structures that give the founder visibility into progress.
  • Improve organizational systems as the business evolves.
  • Maintain dashboards, trackers, documentation, and recurring reports.
  • Identify opportunities to automate repetitive administrative and operational processes.
  • Use AI and modern productivity tools to improve efficiency wherever appropriate.
  • Manage scheduling, meetings, reminders, and follow-ups.
  • Help organize the founder's priorities and ensure important commitments are not missed.
  • Prepare meeting agendas, notes, action items, and follow-ups when needed.
  • Research topics and prepare information ahead of important meetings or decisions.
  • Handle miscellaneous personal and administrative requests, including travel planning and booking.
  • Serve as a reliable point of coordination across the founder's professional and personal priorities.
  • 3–5+ years of experience in Executive Assistance, Chief of Staff, Operations, Project Management, Business Operations, or a comparable role.
  • Demonstrated experience supporting a founder, executive, entrepreneur, or senior leader.
  • Strong project and task management capabilities.
  • Experience coordinating remote teams or contractors.
  • Experience supporting recruitment or contractor hiring processes.
  • Strong research and information-gathering skills.
  • Experience building trackers, reporting systems, workflows, or operational processes.
  • Strong proficiency with Google Workspace and Microsoft Office.
  • Comfortable learning and working across project management and collaboration platforms.
  • Strong familiarity with AI tools such as ChatGPT, Claude, Gemini, or comparable platforms.
  • Excellent written and spoken English.
  • Strong organizational and documentation skills.
  • Comfortable working independently in a remote environment.
  • Extremely proactive and self-directed.
  • Highly organized with exceptional attention to detail.
  • Strong sense of ownership and accountability.
  • Able to manage multiple priorities without losing track of details.
  • Comfortable operating in an environment where priorities can change quickly.
  • Strong judgment and ability to determine what requires escalation.
  • Resourceful and naturally inclined to solve problems.
  • Confident following up with contractors and holding people accountable.
  • Comfortable working directly with a demanding or fast-moving founder.
  • Discreet and trustworthy when handling confidential business and personal matters.
  • Strong communicator who can provide concise, useful updates rather than excessive information.
  • Able to move between strategic thinking and hands-on execution.
  • Curious, adaptable, and comfortable learning new tools and systems.

The ideal candidate is an experienced Executive Assistant, Chief of Staff, Operations Manager, or Project Coordinator who has progressed beyond purely administrative responsibilities.

They should be someone who naturally thinks:

"What needs to happen next, and how do I make sure it gets done?"

Rather than simply waiting for tasks to be assigned, this person should be comfortable identifying gaps, creating structure, following up with stakeholders, and driving projects forward.

Candidates with experience supporting startup founders, entrepreneurs, executives, or distributed teams are particularly relevant.

Experience in one or more of the following environments would be advantageous:

This person will become a key operational partner to the founder.

The objective is not simply to take administrative work off the founder's plate. The successful hire will create structure, accountability, and leverage, allowing the founder to spend more time on strategic priorities while knowing that projects, people, and follow-ups are being managed.

As the relationship develops, there is significant opportunity for the role to expand into a broader Chief of Staff / Business Operations position.
