Our client’s recruiting team—composed largely of former BigLaw practicing attorneys—delivers retained and contingent search services across Partner & Group Placements, Associate Recruiting, and In-House Counsel search.
Having completed over 10,000 placements and partnered with 75% of the Am Law 200, our client combines deep industry intelligence with cutting-edge technology—including their proprietary CRM and AI platforms—to streamline the lateral hiring process for both candidates and clients.
About the Role:
Lateral Link is seeking a Submissions Operator to run point on our end-to-end law firm submission packages. Working alongside a Principal US Associate Recruiter, you will leverage custom AI workflows to produce flawless candidate materials—including tailored cover letters, finalized resumes, blind profiles, and firm introduction emails—with a strict 24-hour turnaround.
This is not a general virtual assistant role. We need a tech-forward, hyper-detailed individual who can operate as an AI power user and a human safety net: prompting LLMs accurately, catching hallucinations, and ensuring complete formatting perfection before materials hit top-tier US law firms.
Key Responsibilities
- Package Production: Generate 8–10 complete candidate submission packages daily using built-in Claude AI projects and our custom CRM (Docket).
- AI Output Quality Control: Meticulously review, edit, and correct AI-generated cover letters and profiles to ensure absolute alignment with firm job postings (catching wrong firm names, titles, offices, or non-matching fit sentences).
- Document Formatting: Standardize candidate resumes in Microsoft Word to strict house guidelines (margins, styles, fonts, single-page constraints).
- System Integration & Testing: Serve as the primary initial user for Docket (our in-house legal recruiting CRM/automation system), logging bugs, documenting unexpected system behavior, and offering feedback to developers.
- Firm & Contact Research: Maintain accuracy across firm lists using Leopard Solutions, Notion, and web research to pull correct recruiting contacts and application rules.
- Workflow Hand-Off: Organize finalized packages into Dropbox following precise naming conventions and pass them to the assistant for submission.
- Daily Communication: Manage real-time queries and send daily status logs via Telegram.
Must-Have Qualifications
- AI Power User: Daily hands-on experience with Claude or ChatGPT. Proven ability to build prompts, spot model hallucinations/drift, and refine inputs without guidance.
- Obsessive Attention to Detail: Zero tolerance for basic administrative errors (wrong names, firms, or job titles across repetitive document sets).
- Written English: Native or equivalent written English proficiency with an eye for professional tone and grammar.
- Advanced MS Word Skills: Mastery over styles, page setups, margins, tabs, and document layout.
- Outreach & Research Capabilities: Familiarity with email sequencing software (e.g., Mixmax, Instantly, Lemlist) and web research techniques.
- Software Testing Mindset: Comfortable using early-stage software, reporting reproducible bugs with clear steps and screenshots.
- Proactive Communicator: A habit of asking clarifying questions early rather than making assumptions.
Nice-to-Haves
- Background as a paralegal, legal secretary, candidate attorney, or agency recruiter back-office specialist.
- Practical editing or proofreading experience.
