We are a rapidly growing U.S.-based construction services firm. We operate as the management layer over a network of skilled independent contractors who deliver our construction work, allowing us to scale efficiently while maintaining tight control over quality and client experience.
Our marketing team is expanding its internal resource team to keep pace with the business. A meaningful part of our brand presence is built through events — both the events we host for our clients and industry partners, and the events and sponsorships we participate in throughout the year. We run our marketing operation on HubSpot end-to-end, from event registrations to CRM and reporting.
About the Role
~1 min readThis role exists to give our marketing function dedicated events execution horsepower. As we grow, our marketing leadership needs a reliable owner for the logistics, coordination, and follow-through that make events run — so leadership can stay focused on strategy rather than day-to-day operations.
You will own the moving parts behind our hosted events and manage our presence at the events we attend and sponsor. This is a hands-on coordination role for someone who is energized by organization, deadlines, and making sure nothing slips through the cracks. Because the role and its systems are still taking shape, you will have real room to bring structure and improve how we run.
Responsibilities
~1 min read- Coordinate end-to-end logistics for company-hosted events, including timelines, vendors, materials, and scheduling
- Build and manage event registrations, RSVPs, and attendee communications in HubSpot
- Track deadlines and deliverables across events, keeping all stakeholders aligned and on schedule
- Manage logistics for events the company attends and sponsors, including registrations, booth/materials coordination, and travel or shipping needs
- Serve as the coordination point for sponsorship deliverables and deadlines
- Maintain a shared calendar of upcoming hosted and attended events
- Use HubSpot for event registration, contact management, and campaign coordination
- Maintain accurate records, lists, and reporting related to event performance and attendance
- Support broader marketing operations tasks that connect to event execution
- Partner with the marketing team leader and other stakeholders to keep events moving
- Proactively flag risks, gaps, and timeline issues before they become problems
- Document and improve event workflows as the function matures
Requirements
~1 min read- Consistent overlap with U.S. Eastern Time working hours
- Demonstrated experience coordinating events, projects, or complex logistics
- Exceptional organizational skills and attention to detail — this is the single most important trait for the role
- Strong written and verbal English communication
- Proven ability to self-manage in a remote environment and juggle multiple deadlines at once
- Hands-on experience with HubSpot, especially events, registrations, and CRM (transferable experience with tools like Salesforce, Marketo, Mailchimp, Eventbrite, or Cvent is a plus)
- Prior experience supporting a marketing team or function
- Experience working with or for U.S.-based companies
- Comfort operating in a role where processes are still being built
You are:
- Highly organized — you naturally build systems, checklists, and timelines, and nothing falls through the cracks on your watch
- Proactive — you anticipate what a live event needs before you're asked and flag issues early
- Detail-obsessed — you catch the small errors that would otherwise show up in front of clients
- Comfortable with ambiguity — you can operate and add structure in a role that is still taking shape, without waiting for a fully built onboarding path
- A strong communicator — you keep stakeholders informed and coordinate cleanly across a remote team
What We Offer
~1 min readThis is a growing role inside a growing company. You will start with meaningful ownership over our events function and have a genuine path to expand your hours, scope, and long-term engagement as you prove yourself. If you like owning outcomes and building the systems behind them, you will have room to do exactly that here.
