About the Role

They are looking for an organized and customer-focused Office Admin – Customer Support & Scheduling Specialist to coordinate caregiver schedules, support clients and families, and assist with day-to-day administrative operations.
This role is ideal for someone who enjoys problem-solving, thrives in a fast-paced environment, and is passionate about delivering outstanding customer service.
Responsibilities
~1 min read- →Manage daily client and caregiver schedules using ClearCare (WellSky) or similar software.
- →Match caregivers with clients based on care needs, availability, and preferences.
- →Resolve scheduling conflicts and caregiver call-outs to ensure uninterrupted care.
- →Participate in a rotating on-call schedule for urgent evening and weekend coverage.
- →Answer inbound calls and provide professional, compassionate support to clients and families.
- →Follow up with clients to ensure satisfaction and document all interactions in the CRM.
- →Coordinate client consultations and caregiver introductions.
- →Support general administrative tasks, including document management and reporting.
- →Assist with recruitment administration, onboarding paperwork, and reference checks.
- →Maintain accurate client and employee records.
Requirements
~1 min read- 2+ years of experience in scheduling, customer support, office administration, or healthcare coordination.
- Experience in home care, healthcare, or senior services is highly preferred.
- Experience using ClearCare (WellSky) or similar scheduling software.
- Strong Microsoft Office skills, particularly Word, Excel, and Outlook.
- Excellent written and spoken English.
- Strong organizational skills with the ability to manage multiple priorities.
- Calm and professional under pressure, especially when handling last-minute schedule changes.
- Reliable internet connection, computer, and dedicated home office setup.
- Excellent customer service and communication skills.
- Empathetic and patient, especially when working with seniors and their families.
- Highly organized with strong attention to detail.
- Proactive problem solver who takes ownership of their work.
- Able to work independently while collaborating effectively with the team.
- Comfortable working in a fast-paced, remote environment.
