The Production Specialist is responsible for managing customer purchase orders from order receipt through shipment. This role serves as the primary coordinator between Sales, Product Development, Sourcing, Quality, Logistics, and factories to ensure products are produced, inspected, shipped, and delivered on time. Success in this role requires exceptional organization, attention to detail, follow-through, and the ability to manage multiple projects simultaneously in a fast-paced environment.

Responsibilities

  • Receive and review customer purchase orders for accuracy and completeness.
  • Create and maintain purchase orders, production orders, and supporting documentation within the ERP system.
  • Issue purchase orders to factories and suppliers and confirm all order details, including pricing, quantities, packaging, labeling, and shipping requirements.
  • Maintain and update Time and Action (T&A) calendars for all assigned purchase orders.
  • Monitor key production milestones, including:
    • Purchase Order issuance
    • Material readiness
    • Sample approvals
    • Production start
    • Production completion
    • Inspection scheduling
    • Booking requests
    • Vessel departures
    • Customer delivery requirements
  • Coordinate with Product Development, Sourcing, and Quality teams to ensure all approvals are completed on schedule.
  • Review and approve carton markings, packaging specifications, shipping labels, and compliance requirements.
  • Track factory production status and proactively identify risks, delays, or potential issues.
  • Communicate production updates and shipment status to Sales, Operations, and Management teams.
  • Coordinate inspections and ensure corrective actions are completed when required.
  • Maintain accurate records of production status, shipment schedules, and order documentation.
  • Generate weekly production and shipment reports highlighting at-risk orders and key milestones.
  • Escalate production, quality, or logistics concerns and recommend solutions to minimize business impact.
  • Support continuous improvement initiatives to enhance production efficiency and on-time delivery performance.
  • Perform other related duties as assigned.
  • Exceptional attention to detail and accuracy.
  • Strong project management and organizational skills.
  • Ability to manage multiple purchase orders and deadlines simultaneously.
  • Excellent verbal and written communication skills.
  • Strong follow-up and problem-solving abilities.
  • Proficiency in Microsoft Excel, Outlook, and ERP systems.
  • Ability to analyze production schedules and identify potential risks.
  • Understanding of international sourcing, manufacturing, and supply chain processes.
  • Knowledge of quality control and inspection procedures.
  • Ability to work effectively with overseas factories and cross-functional teams.
  • Strong sense of urgency and accountability.
  • Team-oriented with a willingness to support a variety of operational functions.

Requirements

  • 3–5 years of experience in production coordination, sourcing, product operations, or supply chain management.
  • Experience working with overseas factories, particularly in Asia.
  • Experience in home décor, storage, furniture, seasonal, or consumer products industries preferred.
  • Familiarity with ERP systems such as Odoo, NetSuite, SAP, or similar platforms.
