About the Role

The eCommerce Project Coordinator is a central operational role within the marketing department, supporting Podpac’s portfolio of compostable coffee brands. This position ensures that creative projects, marketing initiatives, and internal workflows run smoothly, efficiently, and on schedule.

Reporting to the eCommerce Campaigns & Retention Manager, you will act as the primary coordination point for marketing requests, managing project workflows, sprint planning, and cross-functional communication. You will own the project management ecosystem, maintain visibility across all initiatives, and proactively resolve risks or bottlenecks before they impact delivery.

This role is ideal for someone who thrives in fast-paced environments, brings structure to creative teams, and has exceptional attention to detail and follow-through.


Responsibilities

  • Own and maintain the marketing campaign calendar, identifying and resolving blockers or resource conflicts

  • Manage the master backlog of requests from internal stakeholders (e.g., Growth, Sales, NPD)

  • Plan and coordinate quarterly and monthly design sprints to balance workload and capacity

  • Create and maintain campaign project boards and reusable templates for BAU workflows

  • Draft and distribute monthly marketing updates to internal business stakeholders

  • Coordinate daily workflows across design and content teams to ensure deadlines are met

  • Create clear, detailed, production-ready tasks in Asana for social media, blogs, landing pages, and campaigns

  • Proactively identify and resolve risks, dependencies, or bottlenecks

  • Support Go-to-Market execution for new product launches in collaboration with the eCommerce Manager, ensuring timelines and milestones are met

  • Maintain the master marketing calendar across all brands at least 1.5–2 months in advance

  • Provide weekly project health reporting using Red/Amber/Green status indicators

  • Track timeline adherence, delivery risks, and upcoming milestones

  • Coordinate monthly customer giveaways and liaise with Customer Service to announce winners


Requirements

  • 3+ years of experience in digital marketing, eCommerce operations, or Business Process Outsourcing

  • Strong understanding of sprint planning and backlog management

  • Experience working with Agile methodologies (Kanban preferred)

  • Hands-on experience using project management tools (Asana or Jira)

  • Experience coordinating marketing calendars in fast-paced environments

  • Proven ability to manage cross-functional timelines and campaign execution

  • Exceptional attention to detail when creating and managing project tasks

  • Strong organisational and prioritisation skills

  • Excellent written and verbal communication skills

  • Proactive, collaborative, and customer-first mindset

  • Familiarity with eCommerce platforms and workflows

  • Sense of humour and ability to work well within creative teams
