We are a boutique freight forwarding and customs brokerage company serving clients across Canada, the United States, Mexico, and international markets.

The company provides transportation, freight forwarding, and customs brokerage services across truck, air, and ocean freight. With a highly hands-on leadership team and a strong focus on client and carrier relationships, this is an environment where team members have meaningful ownership over their work and the opportunity to develop across multiple areas of logistics.

The Transborder & Ocean Import/Export Coordinator will join the Transport Department and work closely with the existing logistics team and company leadership.

This is a hands-on role spanning freight coordination, dispatch, shipment tracking, customer service, documentation, and operational administration across domestic, transborder, ocean, and air freight.

The company is open to both early-career candidates with foundational logistics knowledge and experienced logistics professionals. The ideal candidate will have a strong understanding of freight operations, excellent organizational skills, and the customer service instincts to manage relationships with both shippers and carrier partners.

Responsibilities

  • Receive customer shipment requests via phone and email.
  • Gather shipment details, destinations, freight requirements, and delivery expectations.
  • Accurately enter shipment information into the company's logistics management system.
  • Coordinate with preferred carrier partners to secure capacity and dispatch shipments.
  • Coordinate domestic, Canadian/US transborder, and international freight movements.
  • Track shipments from pickup through final delivery.
  • Proactively communicate shipment updates, delays, and changes to clients and relevant stakeholders.
  • Collect Proofs of Delivery (PODs) and ensure files are properly completed and closed.
  • Assist with resolving transit delays, delivery issues, capacity challenges, and other operational exceptions.
  • Assist with ocean and air import/export files.
  • Support the documentation and coordination of international shipments.
  • Work with internal customs brokerage colleagues on applicable import files.
  • Coordinate ocean freight deliveries and related inland transportation.
  • Assist with the administrative requirements associated with international freight movements.
  • Prepare and maintain shipping and transportation documentation.
  • Assist with Bills of Lading, commercial invoices, packing lists, PODs, and related paperwork.
  • Maintain accurate shipment records and files.
  • Assist with billing and file closeout.
  • Review shipment-related charges and help resolve discrepancies.
  • Ensure files are properly documented throughout the shipment lifecycle.
  • Serve as a responsive point of contact for customers throughout the shipment lifecycle.
  • Maintain strong working relationships with customers and carrier partners.
  • Communicate professionally and proactively with carriers regarding dispatch, capacity, pricing, and delivery.
  • Provide timely updates and practical solutions when shipment issues arise.
  • Deliver a high level of service to both customers and transportation partners.
  • Foundational to mid-level experience in freight forwarding, logistics, transportation, shipping, or supply chain.
  • Experience with truck freight and transborder transportation preferred.
  • Understanding of Canadian/US freight movements.
  • Exposure to ocean and air import/export strongly preferred.
  • Familiarity with Incoterms and international freight processes.
  • Understanding of shipping documentation and Proof of Delivery processes.
  • Familiarity with logistics management, TMS, dispatch, or freight software.
  • Experience with customs/import documentation is an asset.
  • Ability to learn and confidently navigate a specialized logistics management system.
  • Highly organized and detail-oriented.
  • Strong customer service orientation.
  • Clear and professional verbal and written communication.
  • Comfortable managing multiple shipments and priorities simultaneously.
  • Proactive and solutions-oriented.
  • Strong follow-through and ownership.
  • Able to build positive relationships with customers, carriers, and internal teams.
  • Calm and practical when dealing with delays or unexpected issues.
  • Strong willingness to learn and develop broader logistics expertise.

The ideal candidate understands how freight moves in the real world and is comfortable working across the operational details required to get a shipment from origin to destination.

They should be able to communicate effectively with customers and carriers, coordinate dispatch, track shipments, manage documentation, and support international freight processes.

The company is also open to an early-career logistics candidate with strong foundational knowledge, initiative, and the ability to learn quickly. For a more experienced hire, the expectation will be greater independence across truck, ocean, and air freight operations.

This role will become an important part of the Transport Department, helping the existing team manage shipment volume while maintaining the responsive, high-touch service that is central to the company's client and carrier relationships.
