We are seeking a highly organized, bold, and incredibly accountable Travel Operations & Sales Support Specialist to act as the primary operational partner to our sales team. In this role, you are the "ultimate executor."
Our Sales Representatives handle the initial client consultations and define the high-level dream. The moment that sales call ends, the project is yours. You will take the raw consultation notes, translate them into a flawless action plan, coordinate all reservations, secure payments, and build exquisite custom itineraries. This is a fast-paced, multi-faceted "jack-of-all-trades" role that requires you to multitask effortlessly, think on your feet, and proactively solve travel logistics before the client even realizes a challenge exists.
Responsibilities
~1 min read- Full-Cycle Reservations: Take full ownership of client bookings immediately following a sales call. Research, price, and book complex multi-leg air travel, hotel room blocks, luxury villas, and local transport.
- Sabre GDS Mastery: Utilize Sabre to construct, modify, and finalize flight and travel reservations, ensuring all ticketing codes, fare classes, and baggage rules are handled with 100% technical accuracy.
- Ground & Transfer Logistics: Coordinate high-end localized logistical requests, including airport transfers, professional private drivers, tour guides, and restaurant reservations worldwide.
- Post-Call Action Items: Review sales call recordings and notes to extract and organize all deliverables, creating a structured project timeline for each client’s trip.
- Itinerary Construction: Piece together beautiful, cohesive, and easy-to-read travel itineraries, keeping clients updated on their schedule modifications with polished communication.
- Reservation Auditing: Double-check every reservation, confirmation code, flight seat mapping, and hotel check-in time to ensure a completely zero-error experience for the traveler.
- Payment Processing: Securely collect and process client credit cards and wire transfers, managing deposit schedules and final payment balances against strict vendor deadlines.
- Client Retention & Upkeep: Manage ongoing changes, client cancellations, or spontaneous itinerary additions directly with hotel partners and airlines, advocating fiercely on our clients' behalf.
- Emergency Troubleshooting: Act as a responsive, calm resource for clients traveling globally who require immediate, real-time adjustments to their flights or accommodations due to delays or cancellations.
- Luxury Travel Pedigree: 3+ years of experience in luxury travel operations, corporate travel coordination, or sales support within a high-end agency environment.
- Sabre GDS Expert (Highly Preferred): Prior, active hands-on experience navigating the Sabre software system for flight and lodging bookings. (We are open to training a truly exceptional, bold administrative multitasker who has a strong background in general travel booking tools).
- Complex Multi-Tasking: A proven ability to manage 10+ client files at different stages of the booking pipeline simultaneously without losing track of deadlines.
- Exceptional English: Near-native written and verbal English communication. You write with sophistication, warmth, and professional clarity suitable for communicating with luxury travelers and global boutique hoteliers.
- Bold & Accountable: You don't wait for a step-by-step checklist. You take the details of a call, spot the gaps, and figure out the solutions independently. You take complete, personal ownership of the client’s final experience.
- Dynamic Improviser: Travel is unpredictable. You possess the mental agility to quickly pivot plans, find alternative flights, and resolve vendor disputes calmly and efficiently under pressure.
- Type A Organization: You find joy in perfectly tracked reservation sheets, meticulously cataloged confirmation numbers, and flawless itineraries.
