About the Role
~1 min readWe are seeking a bilingual Virtual Assistant – Project Management Specialist to help coordinate and track active painting projects.
This is not a highly technical construction project management role. Instead, this position focuses on communication, coordination, and tracking progress across multiple jobs.
You will act as the bridge between customers, painters, and the internal team—ensuring updates are accurate, timely, and clearly communicated.
This role is ideal for someone who is highly organized, detail-oriented, and thrives in a fast-paced environment where communication is key.
Responsibilities

Conduct daily check-ins with painting crews

Confirm crew arrival via photo (selfie check-ins)

Ensure all jobs start on time and are properly staffed

Track the status of active projects throughout the day

Identify delays, issues, or changes in scope

Communicate updates to internal team and customers

Ensure all projects stay on schedule

Collect progress photos from painters
-
Gather a short (3-sentence) project summary from crews
-
Translate updates into clear, professional English

Send daily updates to customers in a timely manner

Act as the communication bridge between customers and field teams

Ensure customers are informed and confident in project progress

Address basic questions or escalate issues when needed

Assist with ordering paint and materials
-
Coordinate delivery timing with project schedules

Ensure crews have what they need to complete jobs

Maintain accurate records of project progress

Track multiple jobs simultaneously
-
Support general operational and administrative tasks
-
2–5 years of experience as a Virtual Assistant, Project Coordinator, or Operations Support
-
Bilingual (Spanish & English required)
-
Strong communication skills (written and verbal)

Experience coordinating or tracking projects (not necessarily technical PM)

High level of organization and attention to detail

Ability to manage multiple workflows simultaneously

Ability to work independently in a remote environment
