We are seeking an experienced Workday Financial Analyst / Invoicing Specialist to support and optimize invoice operations within Workday Financial Management. This is a strictly plug-and-play role for an immediate contributor who requires zero training on Workday Financials and can execute complex billing from day one. You will be directly responsible for setting up customer contracts, managing billing schedules, enforcing time submissions, and executing both automated and highly nuanced/manual invoicing structures (e.g., consolidating 4 projects into 1 client invoice vs. splitting 4 projects into 4 distinct invoices).
Key Responsibilities
- Contract & Schedule Setup: Create customer contracts, set up billing schedules, revenue recognition schedules, project rates, and customer accounts in Workday.
- Complex & Nuanced Invoicing: Manage both automated batch billing and manual, nuanced invoice preparation tailored to distinct client requirements (e.g., handling 1 client with 4 projects on a single consolidated invoice versus 4 separate invoices).
- End-to-End Invoice Processing: Generate, review, and process customer invoices directly from Workday timekeeping, fixed-fee contracts, and expense reimbursements across multiple divisions and entities.
- Time Submission & Enforcement: Validate period-end consultant and contractor timekeeping; proactively track and ensure all time is submitted, approved, and reconciled against contract/SOW terms prior to invoicing.
- Approval Workflows: Package invoices accurately for seamless, one-click review and approval by Managing Directors and internal leadership; resolve holds, exceptions, and routing errors.
- Discrepancy Resolution: Investigate and resolve variations between logged hours, approved timesheets, rates, and invoiced amounts.
- Cross-Functional Collaboration: Partner with resourcing, project management, and accounting teams to resolve invoicing blockers and process ad hoc client changes or customized portal uploads.
- Process Documentation: Document current-state invoicing processes and recommend continuous improvements to increase accuracy and reduce billing turnaround time.
Required Qualifications
- Plug-and-Play Readiness: Ability to step into the system and deliver immediate impact on day one with zero training required on Workday Financial Management.
- 3+ Years Workday Experience: Direct hands-on experience in Workday Financial Management, specifically covering billing schedules, customer contract setup, timesheet-based invoicing, and project billing.
- Nuanced Billing Expertise: Proven ability to handle complex, manual, and non-standard invoicing scenarios—not just reliance on automated batch processes.
- Data Reconciliation: Demonstrated skill in reconciling timekeeping data against contract line items to ensure complete billing accuracy.
- Workflow Autonomy: Strong understanding of Workday invoice approval routing, business processes, and independent, high-volume invoice execution in a remote environment.
- Communication: Excellent written and verbal English communication skills for asynchronous execution with leadership and stakeholders.
Preferred Qualifications
- Workday Financials Certification (HIGHLY PREFERRED)
- Experience preparing invoices for senior executive approval (e.g., Managing Directors) in professional services or advisory firms.
- Prior experience in multi-entity or multi-division invoicing environments undergoing high growth or acquisitions.
