The Operations Coordinator is responsible for ensuring efficient day-to-day administrative operations in a construction-focused, paving and striping environment. This role serves as a central point of communication and coordination between office staff, field teams, and external vendors. The Operations Coordinator handles scheduling, document management, and office organization while supporting project teams and maintaining a professional and productive office environment.
Requirements:
- Coordinate daily office operations, including scheduling meetings, appointments, and travel arrangements for staff
- Serve as a liaison between office staff, field teams, vendors, and clients to facilitate communication and resolve inquiries
- Manage and organize project documentation, permits, contracts, and records to ensure accessibility and compliance
- Monitor and maintain office supplies and equipment, addressing any maintenance or restocking needs
- Assist with basic accounting tasks, such as invoice tracking, expense reporting, and payroll support
- Prepare and distribute reports, presentations, and correspondence as needed
- Support the implementation of office policies, procedures, and safety standards
- Track project deadlines and milestones to ensure timely completion of administrative deliverables
- Assist in onboarding new employees by coordinating training materials and maintaining personnel records
- Perform general office duties, such as answering phones, handling mail, and maintaining a professional workspace
Experience Required:
- Minimum 3 years of experience in an administrative or coordination role, preferably in the construction industry
- Familiarity with construction documentation, terminology, and processes is highly desirable
- Experience with ERP or construction-specific software systems preferred
Skills Required:
- Excellent organizational and multitasking abilities
- Strong verbal and written communication skills
- Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
- Attention to detail and accuracy in managing records and documentation
- Ability to prioritize tasks and adapt to a dynamic, fast-paced environment
- Strong problem-solving and critical-thinking skills
- Collaborative mindset with the ability to work effectively with diverse teams
Education Required:
- High school diploma or GED required
- Valid Drivers License
- Associate degree in Business Administration, Project Management, or a related field preferred
Physical Requirements:
- Ability to sit for extended periods and work on a computer
- Occasionally lift and carry office supplies or files weighing up to 15 pounds
Work Environment:
- Standard office environment with minimal noise
- Occasional interaction with field teams or visits to construction sites may be required
