Position Overview: The Manager, Global Medical External Affairs Operations, provides operational, project management, and governance support for Global Medical Affairs external engagement activities. This role partners closely with the Director, Global Medical External Affairs to ensure the efficient execution of sponsorships, memberships, society partnerships, and strategic external engagement initiatives. The Manager, Global Medical External Affairs Operations, is responsible for coordinating day-to-day operations, tracking commitments and deliverables, managing budgets and contracts, supporting governance processes, and driving operational excellence across Medical External Affairs activities.

 

Key Responsibilities

Sponsorship and Membership Management

  • Coordinate end-to-end execution of corporate sponsorships and memberships.
  • Track contractual obligations, benefits, deliverables, renewal timelines, and reporting requirements.
  • Maintain centralized records of society relationships, funding commitments, and membership portfolios.
  • Support utilization tracking and assessment of sponsorship and membership benefits.

 

Project Management and Operational Support

  • Develop and maintain project plans, timelines, action logs, and stakeholder communications.
  • Coordinate internal and external meetings related to society partnerships and collaborative initiatives.
  • Support execution of strategic society engagement plans and partnership activities.
  • Manage operational follow-up and ensure completion of agreed actions and deliverables.

 

Governance and Compliance

  • Ensure activities are conducted in accordance with Medical Affairs, Compliance, Legal, and Finance requirements.
  • Support implementation and maintenance of SOPs, governance frameworks, and documentation standards.
  • Maintain audit-ready documentation and support internal reviews and inspections.
  • Coordinate approval workflows and documentation within CyberGrants and other funding systems.

 

Budget and Financial Management

  • Track sponsorship, membership, and external engagement budgets.
  • Support purchase order creation, invoice processing, budget forecasting, and reconciliation.
  • Maintain dashboards and reports related to funding commitments and expenditures.
  • Provide budget status updates to Medical Affairs leadership.

 

Stakeholder Coordination

  • Partner with Medical Affairs, Finance, Compliance, Legal, Procurement, and other cross-functional teams.
  • Coordinate contracting activities and ensure timely execution of agreements.
  • Support communications with external organizations and professional societies.
  • Assist with planning and logistics for leadership meetings and society engagement activities.

 

Analytics and Operational Excellence

  • Develop and maintain dashboards, metrics, and key performance indicators.
  • Track and report on society engagement activities, partnership deliverables, and operational performance.
  • Identify process improvement opportunities and support implementation of new tools and technologies.
  • Drive operational consistency and scalability across Medical External Affairs activities.

 

Qualifications

Required

  • Bachelor's degree required.
  • 5+ years of experience in project management, operations, Medical Affairs, grants, sponsorships, external affairs, healthcare, pharmaceutical, or related environments.
  • Strong project management and organizational skills.
  • Experience managing multiple priorities and stakeholders simultaneously.
  • Proficiency with Microsoft Office applications, including Excel, PowerPoint, and SharePoint.
  • Strong written and verbal communication skills.

Preferred

  • Experience supporting Medical Affairs or external engagement programs within the pharmaceutical or biotechnology industry.
  • Knowledge of sponsorships, memberships, grants, and healthcare compliance requirements.
  • Experience with funding management systems such as CyberGrants, SteepRock, SAP, Ariba, or similar platforms.
  • Experience developing dashboards, metrics, and operational reporting tools.

Success Measures

  • On-time execution of sponsorships and memberships.
  • Accurate budget tracking and forecasting.
  • Compliance with governance and documentation requirements.
  • Timely completion of contracts and approvals.
  • Positive stakeholder experience and operational support.
  • Improved efficiency and scalability of Medical External Affairs processes.
