The Payroll Specialist is responsible for accurate and timely weekly payroll processing for multiple business units and legal entities, including union and non-union employees. This role reviews payroll data, processes employee changes and special payments, performs payroll audits and reconciliations, resolves discrepancies, and ensures compliance with federal, state, and local payroll requirements, collective bargaining agreements, and company policies. The Payroll Specialist also serves as a resource for employees and internal business partners on payroll-related matters.
Responsibilities
~1 min read- →Processes accurate and timely weekly payroll for multiple business units, legal entities, and union and non-union employee populations.
- →Reviews and validates time and attendance, pay changes, new hires, terminations, transfers, deductions, taxes, direct deposits, bonuses, and other payroll transactions.
- →Performs pre- and post-payroll audits and reconciliations to identify and resolve discrepancies.
- →Processes off-cycle payments, manual checks, corrections, reversals, garnishments, and other special payroll transactions.
- →Reviews and applies payroll-related provisions of collective bargaining agreements, including wage rates, overtime, premiums, differentials, union dues, and other deductions.
- →Ensures payroll is processed in compliance with applicable federal, state, and local laws, company policies, and collective bargaining agreements.
- →Responds to employee payroll, tax, deduction, direct deposit, and pay-related inquiries in a timely and professional manner.
- →Partners with Human Resources, Benefits, Finance, Accounting, Operations, and other business partners to research and resolve payroll issues.
- →Supports payroll tax, quarter-end, year-end, W-2, and other payroll reconciliation activities.
- →Maintains payroll records, documentation, Standard Operating Procedures, and internal controls.
- →Supports internal and external payroll audits and provides payroll reports and documentation as requested.
- →Maintains strict confidentiality of employee, compensation, banking, tax, and payroll information.
- →Performs other payroll-related duties and special projects as assigned.
Requirements
~1 min read- Bachelor’s degree in Accounting, Finance, Business Administration, Human Resources, or a related field preferred; equivalent experience will be considered.
- Minimum 2–4 years of hands-on payroll processing experience required, preferably with high-volume, multi-entity, and multi-state weekly payroll.
- Experience processing payroll for union and non-union employees preferred.
- Experience with ADP Workforce Now required.
- Working knowledge of federal, state, and local payroll and wage and hour requirements.
- Knowledge of collective bargaining agreements, union payroll requirements, garnishments, payroll taxes, deductions, overtime, and premium pay preferred.
- Strong payroll auditing, reconciliation, analytical, and problem-solving skills.
- Strong attention to detail with the ability to manage multiple payrolls and strict weekly deadlines.
- Strong Microsoft Excel, written, verbal, and customer-service skills.
- FPC or CPP certification preferred.
- Ability to perform work in a standard office environment, including prolonged periods of sitting and computer use.
- Frequent typing, data entry, and use of standard office equipment.
- Ability to communicate effectively in person, by phone, and electronically.
- Occasional standing, walking, bending, reaching, and lifting office materials up to 5–10 pounds.
