Client Coordinator

Key Responsibilities

• Serve as the primary point of contact for clients, addressing inquiries, providing updates, and resolving routine concerns.
• Understand client requirements, preferences, budgets, and timelines to ensure appropriate product recommendations and service.
• Maintain strong client relationships through regular follow-ups and clear, professional communication.
• Ensure timely responses to client queries and coordinate with relevant departments to resolve issues efficiently.
• Maintain accurate records of client interactions, discussions, commitments, and feedback.

• Develop a good understanding of interior products such as furniture, modular kitchens, wardrobes, flooring, wall panels, lighting, hardware, decorative materials, and related solutions, depending on the company's product portfolio.
• Assist clients in understanding product specifications, available options, finishes, materials, dimensions, and customization possibilities.
• Coordinate with sales and design teams to communicate product requirements and prepare quotations, proposals, and product details.
• Track client selections, order specifications, approvals, and changes to ensure accurate execution.
• Support clients throughout the product selection, ordering, delivery, and installation process.

• Coordinate order processing and ensure all client requirements are documented accurately.
• Follow up with internal teams regarding product availability, production schedules, dispatches, and delivery timelines.
• Monitor order status and proactively communicate delays or changes to clients.
• Coordinate with logistics, vendors, and installation teams to support timely delivery and completion.
• Maintain trackers and reports for pending orders, client requests, project milestones, and outstanding issues.

• Work closely with sales, design, procurement, operations, and customer support teams to ensure seamless execution.
• Share accurate client requirements and communicate updates across relevant departments.
• Escalate complex complaints, delivery challenges, and product-related issues to the appropriate team.
• Assist in preparing client presentations, quotations, invoices, and other coordination documents as required.

• Collect client feedback and identify opportunities to improve service quality.
• Ensure commitments made to clients are tracked and fulfilled within agreed timelines.
• Prepare regular updates on client inquiries, order progress, pending tasks, and service issues.
• Maintain organized documentation and ensure accuracy in client databases and records.

Must-Have Skills

• Strong Client Coordination and relationship management skills.
• Understanding of interior products, materials, finishes, specifications, and applications, or the ability to learn the product portfolio quickly.
• Excellent verbal and written communication skills.
• Strong follow-up, organizational, and multitasking abilities.
• Proficiency in MS Excel, email, and basic documentation tools.
• Problem-solving skills and a customer-first mindset.

Experience and Qualifications

• 1–7 years of experience in client coordination, sales coordination, customer service, or a related role.
• Experience in interior products, furniture, home furnishings, modular solutions, or building materials will be an advantage.
• A graduate degree in any relevant discipline is preferred.
