About the Role

Reporting to the Senior Project Manager, the Project Coordinator I supports the successful delivery of scientific projects and contributes to inside-sales activities. This entry-level role will work closely with the Senior Project Manager and cross-functional scientific and operational teams to keep projects organized, communications timely, and client records current.

The position is designed for someone who is organized, client-focused, and wants to build a career in biotechnology project management, client services, or inside sales. Responsibilities may shift based on business needs and the employee’s strengths, interests, and demonstrated capabilities.

Key Responsibilities

  • Drive project planning, execution, tracking, and closeout under the guidance of the Senior Project Manager.

  • Track timelines, milestones, client materials, deliverables, action items, and follow-up needs. Surface any process gaps and identify corrective workflow processes.

  • Coordinate with scientific, operational, business development, and finance teams to support timely project execution.

  • Draft professional client communications and prepare proposals, project documents, and other client-facing materials.

  • Coordinate internal and client meetings, including scheduling, agendas, decisions, and action items. Summarize key information in after action-reports and confirm understanding across stakeholders, utilizing background knowledge of scientific needs.

  • Own invoicing, documentation review, deliverable tracking, and project closeout.

  • Maintain accurate project, client, lead, and opportunity information in CRM and project-tracking systems.

  • Follow up on inquiries and proposals, help qualify opportunities, and support existing client relationships.

  • Develop project management training materials, tools, processes, and SOPs.

  • Have ownership of projects as experience and proficiency grow.

  • Provide additional project management, client service, inside sales, or administrative support based on business needs.

Required Qualifications

  • Bachelor’s degree or higher in biology, immunology, or a closely related life-science field.

  • Interest in progressing in project management, client account support, or inside sales role.

  • At least 1–2 years of experience in a customer-facing role. Relevant experience may come from biotechnology, a contract research organization, hospitality, restaurants, or another service-oriented environment.

  • Strong organization and follow-through with the ability to manage multiple priorities and deadlines.

  • Confidence interacting with clients and internal stakeholders in a professional and service-oriented manner.

  • Strong written and verbal communication skills

Who You Are

  • Eager to learn: You are curious, receptive to feedback, and motivated to continually build your scientific and project management knowledge.

  • Passionate about the science: You enjoy understanding the scientific rationale behind each project and how the work supports the client’s broader goals.

  • Accountable: You take ownership of your responsibilities, follow through on commitments, and communicate early when something may affect scope, timing, or deliverables.

  • Proactive: You anticipate next steps, identify potential risks or gaps, and take action before they become larger issues.

  • Organized: You can manage multiple projects, priorities, timelines, and follow-up items while maintaining attention to detail.

  • Detail-oriented: You consistently produce accurate, thorough work and carefully review project details, pricing, documentation, and communications before they are finalized.

  • Collaborative: You work effectively with scientific, operational, business development, and finance teams to keep projects moving.

  • Clear communicator: You communicate thoughtfully and professionally, adapting the level of detail for clients and internal teams.

  • Adaptable: You are comfortable working in a fast-paced environment where project needs, timelines, and priorities may change.

  • Schedule: Based on location. Must be able to overlap hours to PST operating hours. Occasional night or weekend work may be required.
