Position Summary:

The Chief of Staff – Strategy and Growth is the operational backbone and trusted partner to the SVP of Strategy and Growth. The role is responsible for the systems, rhythms, and follow-through that turn strategy into results across the company’s B2B and growth initiatives. It manages strategic initiatives, financial and contract operations, business development support, and executive communications, so leadership can focus on growing partnerships and revenue. The successful candidate works independently, uses sound judgment and discretion with confidential information, anticipates needs before they arise, and acts as a force multiplier by making sure priorities stay on track and nothing falls through the cracks.

Essential Duties & Responsibilities:

Strategic Initiatives and Operating Rhythm
  • Coordinate, track, and report on strategic initiatives, priorities, and executive action items across the Strategy and Growth function.
  • Translate the SVP’s strategic goals into project plans with defined milestones, owners, and deadlines.
  • Establish and run the function’s operating cadence, including weekly priority reviews, leadership meeting agendas, action-item tracking, and quarterly planning support.
  • Drive accountability by following up on commitments, deliverables, and deadlines with internal teams, clients, and external partners, and escalate risks and roadblocks early.
  • Build and maintain project trackers, dashboards, and executive reporting tools that give leadership real-time visibility into initiative, partnership, and pipeline status.
  • Prepare recurring status reports that summarize progress, risks, and decisions needed.
  • Identify process gaps and design, document, and roll out streamlined workflows and standard operating procedures that improve efficiency across teams.
  • Manage special projects on behalf of the SVP from scoping through completion.

Financial, Contract, and Vendor Operations
  • Track department budgets, forecasts, and spending; reconcile actuals to budget monthly and flag variances to the SVP and Finance.
  • Support annual budget development and mid-year forecast updates for the Strategy and Growth function.
  • Manage the contract lifecycle for partner, client, and vendor agreements, including intake, internal review and approval routing, signature, renewal and expiration tracking, and recordkeeping.
  • Maintain a central contract repository and renewal calendar so no agreement lapses without review.
  • Coordinate procurement activities, vendor selection support, and vendor onboarding in line with company purchasing policies.
  • Oversee invoicing for partner and client engagements, making sure billing is timely and accurate, and work with Finance to resolve discrepancies and outstanding balances.
  • Review and code department expenses and purchase requests for approval.

Business Development and Partner Engagement
  • Support business development efforts, including market and prospect research, proposal and RFP preparation, pricing worksheets, and pitch materials.
  • Maintain accurate partner and client records, engagement history, and pipeline reporting.
  • Track partner commitments and program deliverables to make sure the company meets its obligations under partnership agreements.
  • Serve as a primary liaison between the SVP and internal teams, clients, and external partners.
  • Plan and coordinate customer meetings, conferences, briefings, and special events, including budgets, logistics, materials, and post-event follow-up.
  • Coordinate follow-up after client and partner meetings, including recaps, next steps, and owner assignments.

Executive Communications and Support
  • Prepare executive presentations, reports, board and ELT materials, and meeting summaries with clear decisions, action items, and owners.
  • Draft, edit, and manage key communications on behalf of the SVP, keeping messages consistent, accurate, and on time.
  • Manage the SVP’s calendar, travel, and meetings, prioritizing time against strategic goals and protecting time for high-value work.
  • Prepare briefing materials ahead of key meetings, including background, agendas, and talking points.
  • Triage incoming requests to the SVP, resolve what can be handled independently, and route the rest to the right owner.
  • Handle sensitive and confidential business, financial, and personnel information with discretion.

Qualifications
Required
  • Bachelor’s degree in Business Administration, Operations Management, or a related field, or equivalent combination of education and experience
  • 5+ years of experience in business operations, project management, or senior executive support
  • Demonstrated experience managing budgets, forecasts, contracts, or procurement processes
  • Proven ability to manage multiple concurrent projects and priorities with strong attention to detail
  • Advanced proficiency in Microsoft Excel (pivot tables, lookups, budget tracking), PowerPoint, Outlook, and Teams
  • Excellent written and verbal communication skills, including preparing executive- and board-level materials
  • Exceptional judgment and discretion with confidential information
Preferred
  • Experience in education, workforce development, or B2B partnership environments
