Quick Summary
Serve as the primary contact for county W&M offices on testing status, release permissions, pickup windows, and failed or missing meters. Follow up until every open order is resolved.
The Weights & Measures (W&M) Specialist is responsible for the end-to-end execution of the W&M process: getting meters to county W&M offices for testing, securing their release, and moving tested meters to our central warehouse or directly to the customer site. This position ensures that every W&M order moves on time and that every movement is recorded correctly in NetSuite, so that inventory stays accurate at every step.
This role is the primary point of contact for county W&M offices and for clients with questions about W&M orders. It coordinates between internal teams and external partners, and serves as a cross-trained backup to the Supply Chain Specialists.
Responsibilities
~4 min read- → County Coordination & Release
- →County Communication: Serve as the primary contact for county W&M offices on testing status, release permissions, pickup windows, and failed or missing meters. Follow up until every open order is resolved.
- →Release Management: Request the release of tested meters and track every order through the county release queue, so tested meters do not sit at the county after testing is complete.
- →Stakeholder Coordination: Coordinate between internal stakeholders (Scheduling, Customer Support, Field Operations, Inventory Control, and the central warehouse) and external partners (counties, couriers, carriers, and the 3PL) so everyone works from the same dates.
- →Failed Meter Resolution: Coordinate the return, replacement, or retest of meters that fail county testing.
- → W&M Shipments & Logistics
- →Shipments to Counties: Prepare and request shipments of meters to county W&M offices for testing, including any required approvals, and update the W&M status on each order as it moves through every step of the process.
- →Courier & Freight Booking: Book the couriers and freight needed to move equipment to and from county W&M offices, mostly pickups from the county. The central warehouse books its own freight for the shipments it sends.
- →County to Central Warehouse: Coordinate shipments of tested meters from the county to the central warehouse: schedule pickups with the county and courier, and confirm receipt at the warehouse.
- →County Direct to Customer: Coordinate direct delivery of tested meters from the county to the customer site: confirm delivery details with the property, schedule the county and courier, and confirm delivery on arrival.
- →Partial Deliveries: When a delivery is short, record what arrived and track the balance until it is delivered.
- →Tracking & Transparency: Enter tracking and delivery details for every W&M shipment in NetSuite.
- → Transaction Accuracy
- →Transaction Ownership: Create every W&M transaction in NetSuite accurately and on the same day the movement happens: transfer orders to and from county locations, item fulfillments, and receipts. No physical movement goes unrecorded.
- →Assembly Builds: Create the assembly builds that convert untested meters into tested meters once the county passes them, making sure the quantity built matches the components consumed and the quantity the county passed.
- →Status Accuracy: Keep the W&M status on every sales order current at each step, so that the order status always reflects where the meters physically are.
- →Lot & Quantity Accuracy: Record lot numbers and quantities correctly the first time on every transaction, matching tested and failed quantities to what the county reports.
- →Daily Movement Check: Confirm each day that every physical W&M movement has a matching NetSuite transaction, and report any gap to Inventory Control the same day.
- →Inventory Control Support: Support cycle counts and variance research when Inventory Control asks. Inventory Control owns reconciliation, cycle counts, and all corrections and adjustments; this role owns getting each transaction right the first time.
- →SOP Adherence: Follow documented Standard Operating Procedures and transaction checklists, and keep the checklists current.
- → Client Communication
- →Zendesk Client Support: Respond directly to client inquiries in Zendesk about W&M orders, including testing status, release timing, shipment tracking, and delivery dates. Provide accurate, timely responses and escalate unresolved issues to the appropriate team.
- →Proactive Updates: Notify clients, Scheduling, and Customer Support as soon as a W&M date is at risk.
- → Cross-Training & Team Coverage
- →Supply Chain Specialist Backup: Cross-train on Supply Chain Specialist functions, including Self-Service preparation and fulfillment, special orders, delivery exceptions, and Zendesk support, and provide coverage during absences and high-volume periods.
- →Cross-Functional Support: Support any other supply chain function as needed.
- →Experience: Background in logistics, distribution, or supply chain operations.
- →ERP Skills: Experience processing transactions in an ERP system, NetSuite preferred, with a strong habit of accuracy. Manages many open orders at once and raises problems early.
- →Communication: Comfortable communicating with government offices, outside partners, and clients, both by phone and in writing.
