  • Schedule in-person office visits in MedInformatix (MI) based on requests from providers, their assistants, patients, or patients’ families, received by phone or email.
  • Schedule telehealth visits within the requested Interventional Radiologist’s (IRad) availability, and be well versed in the telehealth platform (e.g., Doxy.me).
  • Create MS Outlook calendar events to notify the IRad of telemedicine visits, and update the existing event when a visit is rescheduled.
  • Help patients use the telehealth platform by emailing instructions or walking them through logging on.
  • Confirm all office visits with patients the day before.
  • Identify and resolve scheduling conflicts quickly to avoid delays in patient care.
  • Print the next day’s schedule for the IRad’s workstation and email it to the scheduled IRad.
  • Keep accurate records of appointments, procedures, and patient information.
  • Request and collect office notes, relevant labs, and imaging reports before each visit, plus any additional information the IRad requests.
  • Obtain outside imaging studies and arrange for them to be uploaded to our PACS. Patients may pick up their studies and mail or hand-deliver the CD to any URG outpatient office, or you may contact the other facility on their behalf to have the studies mailed or sent electronically.
  • Schedule imaging studies as directed by the IRad.
  • Understand each insurance company’s pre-certification requirements and time procedures accordingly.
  • Verify insurance coverage and obtain authorization for outpatient diagnostic exams.
  • Send requested lab orders to patients by mail or email.
  • Work with an IR nurse to call prescriptions in to the patient’s preferred pharmacy, or mail prescriptions to the patient.
  • Answer patient questions about procedures and scheduling.
  • Deliver test results and follow-up instructions as directed by the IRad, and pass along any patient concerns or follow-up visit needs to the IRad.
  • Schedule and coordinate IR procedures with patients, providers, and hospital scheduling staff, and enter them in MI.
  • Send required pre-procedure information and prescriptions to the hospital, and get confirmation of receipt from their scheduling staff.
  • Verify insurance coverage and obtain authorization for interventional procedures.
  • Confirm the procedure and date with both the hospital and the patient.
  • On the day of a procedure, ask the IRad whether a “note to chart” or post-procedure office visit is needed.
  • Work with fellow schedulers and medical assistants to respond promptly to all IRad emails. Always acknowledge messages to “close the loop.”
  • Communicate clearly and professionally with patients and providers, and offer friendly, courteous service by phone and in person.
  • Maintain a professional appearance and manage your time well throughout the day.
  • Follow company privacy policies, including HIPAA.

*May be required to perform duties in or near areas containing specialized imaging equipment and must be able to adhere to all department and facility safety protocols.
