About the Role

~1 min read

The EPC Procurement Buyer supports the EPC Project Procurement team by coordinating contractor agreements, project documentation, work orders, change orders, purchasing activities, and approval workflows across multiple renewable energy projects. This role maintains complete and current records, helps move documents through review and execution, and provides accurate visibility into pending actions and deadlines.

Serving as a central coordination point for Procurement, Legal, Engineering, Construction, Transmission, and Preconstruction, the Buyer prepares and routes documents, tracks revisions and approvals, maintains controlled files, and follows up proactively. This individual contributor role combines procurement support, contract administration, disciplined document control, and entry-level purchasing responsibilities. The Buyer does not independently provide legal advice, approve technical content, or commit the company outside delegated authority.

Responsibilities

  • Process Master Service Agreements (MSAs), Non-Disclosure Agreements (NDAs), service agreements, and subcontracts using approved templates and procedures; collect required information and coordinate review, revision, approval, signature, and filing.
  • Maintain agreement status and renewal records, including expiration dates, owners, required actions, and final disposition; notify Procurement and Legal of upcoming deadlines and follow through to documented completion.
  • Coordinate with Legal to obtain and maintain required contractor documentation, including lien waivers and state-specific forms identified by Legal.
  • Maintain organized project files containing current internal and external documentation; update trackers and follow up on missing or overdue inputs.
  • Prepare internal review copies, consolidate stakeholder comments, and perform document comparisons or redlines during contract review and negotiation.
  • Coordinate document redactions with designated external counsel under Legal direction; protect confidential information and distribute only authorized versions.
  • Partner with Engineering to confirm technical exhibits are current and approved; distinguish master exhibits from project-specific revisions.
  • Apply consistent naming, revision, status, access, and retention controls so draft, approved, and executed documents are clearly identifiable and prior versions are preserved.
  • Prepare, process, and maintain Work Order (WO) and Change Order (CO) packages under applicable Procurement, Construction, Transmission, Engineering, and Preconstruction agreements.
  • Review packages for administrative completeness, including agreement reference, scope, pricing support, required exhibits, and approval evidence; obtain missing information and route legal, technical, or commercial questions to the accountable owner.
  • Track agreements, WOs, and COs from preparation through review, approval, signature, distribution, and filing; maintain links among projects, agreements, exhibits, changes, and approval records.
  • Administer approval workflows using current document versions and required approvers; monitor aging items, follow up promptly, and escalate overdue or time-sensitive actions before project milestones are affected.
  • Confirm required approvals are recorded before authorized signature and verify executed copies are complete before final distribution and filing.
  • Maintain synchronized contract and purchasing records in approved systems, including Procore, SharePoint, Microsoft Teams Approvals, and the applicable procurement or ERP platform.
  • Maintain trackers showing document owners, status, due dates, outstanding actions, and completion dates; provide concise status updates and escalation summaries.
  • Support assigned purchasing activities, such as collecting quotations, preparing bid comparisons, creating purchase documentation, and tracking orders, under the direction of EPC Project Procurement Managers and within approved procedures.
  • Identify and recommend improvements to templates, checklists, filing practices, and approval workflows to reduce errors, duplicate work, and cycle time.
  • Maintain confidentiality and comply with procurement policy, records requirements, and delegated authority.
  • At least two years of relevant experience in procurement support, purchasing, contract administration, document control, project coordination, or a related operational role.
  • Strong attention to detail and demonstrated ability to manage multiple documents, deadlines, revisions, and approval packages accurately.
  • Proficiency in Microsoft Word, including Track Changes and document comparison, and Excel for trackers, reporting, and basic bid comparisons.
  • Experience with Microsoft Teams, SharePoint, or comparable workflow and document-management tools.
  • Working knowledge of contracts, work orders, change orders, purchase documentation, and approval workflows, with sound judgment to identify discrepancies and escalate legal, technical, or commercial issues.
  • Clear written and verbal communication, reliable follow-through, and the ability to work across departments and with contractors while managing competing priorities and confidential information.
  • Associate’s or Bachelor’s degree in Supply Chain Management, Business, Construction Management, or a related field, or an equivalent combination of education and relevant experience.
