The BEST Group, a group of Bermudian companies operating across fleet services, freight, logistics, shipping, trucking and warehousing, is seeking a reliable and customer-focused Fleet Services Agent to join BEST Fleet Services Ltd. on a full-time basis.

The Fleet Services Agent will provide day-to-day customer service, inventory and administrative support to the fleet services operation. Acting as a key point of contact for customers, the successful candidate will respond to telephone calls and emails, assist walk-in customers, and coordinate bookings for servicing, maintenance and general repairs for cars, commercial vehicles, heavy trucks, equipment and machinery.

The role will also support the Parts and Inventory Specialist with receiving and organising stock, conducting inventory counts, maintaining accurate records and providing occasional billing assistance using QuickBooks Online (QBO). The ideal candidate will be organised, approachable and detail-oriented, with a willingness to assist across different areas of the business to support efficient workshop operations and a positive customer experience.

Key Responsibilities

The Fleet Services Agent will provide customer service, inventory and administrative support, including but not limited to:

  • Customer Service and Service Bookings: Answer telephone calls, respond to emails and assist walk-in customers. Coordinate service and repair bookings, record customer and asset details accurately, communicate booking confirmations and updates, and help ensure customer enquiries are followed up promptly.
  • Parts and Inventory Support: Assist with receiving, unpacking, checking and organising stock and deliveries. Support routine inventory counts, update stock records, identify discrepancies and help prepare parts and materials for collection or workshop use.
  • Billing and Administrative Support: Provide occasional billing assistance to the Parts and Inventory Specialist using QuickBooks Online (QBO). Help check job details and supporting documentation, identify missing information, and assist with filing, data entry, job cards, delivery notes and other operational records.
  • Workshop and Operational Coordination: Support communication between customers, the workshop team, the Parts and Inventory Specialist and management. Assist with coordinating vehicle and equipment drop-offs and collections, maintaining service booking records and following up on outstanding documentation.
  • General Office Administration: Maintain organised customer, supplier, inventory and job records, assist with routine office tasks, and provide general administrative support to the Fleet Services Manager and wider team.
  • Health, Safety and Compliance: Follow company procedures and health and safety requirements when handling stock and equipment, maintain a clean and organised work area, and report damaged goods, discrepancies or unsafe conditions promptly.

Minimum Qualifications and Experience

  • High school diploma or equivalent. Additional training in administration, customer service, inventory control or a related field would be an advantage.
  • 1–2 years of relevant experience in customer service, administration, billing support or a similar operational support role.
  • Experience answering telephone calls, responding to customer enquiries, coordinating appointments or bookings, and maintaining accurate records.
  • Basic computer skills, including email, data entry and Microsoft Office applications.
  • Exposure to invoicing or billing systems, including QuickBooks Online (QBO), would be an advantage.
  • Experience in an automotive, fleet services, parts, workshop or inventory environment would be an advantage.
  • Strong organisational skills and attention to detail, with the ability to manage competing priorities and follow through on tasks.
  • Good verbal and written communication skills, with a professional, helpful and customer-focused approach.
  • A practical, hands-on attitude and willingness to assist with inventory handling, stock counts and general operational duties.
  • Must be able to pass police vetting.
