The IB Coordinator is GGA's named coordinator with the International Baccalaureate Organization (IBO) and the person responsible for maintaining GGA's IBCP authorization — the highest-stakes function of the role. The Coordinator leads the vision and day-to-day implementation of the IB Career-related Programme, ensuring every programme standard, assessment deadline, and documentation requirement is met. This role combines programme compliance, assessment and examination management, IB professional learning for staff, and direct guidance for IBCP students. The IB Coordinator connects GGA's Business and Engineering CTE pathways to IB Career-related Studies, ensures the IB Learner Profile and Approaches to Learning (ATL) are lived across the school, and keeps the Principal and leadership team informed so that no IBO deadline ever comes as a surprise.

Key Accountabilities and Collaborations:

Authorization & Standards:

  • Maintains GGA's IBCP authorization and ensures all IB Programme Standards and Practices are met -  if authorization is at risk, the IB Coordinator owns the response
  • Serves as GGA's named coordinator in IBO systems; all IBO correspondence routes through this role

1. IBCP Programme Management

  • Maintains IBCP programme documentation, including course approvals, CTE pathway approval, and programme guides; completes an August review and submits changes by IBO deadlines
  • Ensures GGA's course offerings meet IB subject group requirements; confirms next-year offerings by April
  • Leads the vision and implementation of the IB programme, including system-wide initiatives and innovative approaches that drive IB success
Enrollment & Completion:
  • Monitors IBCP student enrollment, course selection, and programme completion requirements each semester
  • Ensures the IBCP Reflective Project is properly supervised, assessed, and submitted; assigns supervisors and tracks progress
  • Supervises and supports the Reflective Project Coordinator (if applicable)
  • Leads the vision and implementation of the IB programme, including system-wide initiatives and innovative approaches that drive IB success

2. Assessment & Examinations
IB Assessments:

  • Coordinates all IB assessments - internal assessments, external examinations, and the Reflective Project -  managing GGA's compliance with fixed IBO dates
  • Submits IB predicted grades and internal assessment marks to IBO on schedule (typically April)
  • Partners with the Academic Coach to support teachers in developing and calibrating IB internal assessments

Examination Administration:

  • Manages IB examination registration, including student enrollment in the exam session and IBO submission (typically November for May exams)
  • Coordinates official IB assessment accommodations for students with IEPs and 504 plans; submits requests to IBO well in advance of exams
  • Manages IB exam materials - ordering, receiving, securing, administering, and returning - per IBO protocols
  • Coordinates with the Director of Finance & Operations on exam fee collection, payment to IBO, and secure storage of materials
IB Training:
  • Ensures all IB teachers are IB-trained and current on subject-specific professional development - training is completed before a teacher leads an IB course
  • Identifies IB training needs, recommends PD budget to the Principal, and maintains teacher IB training records
  • Manages IB training for all staff

Professional Learning & Coaching:

  • Co-facilitates quarterly IB-focused professional development with the Academic Coach on Q1 - Q4 PD days
  • Orients new teachers to IB philosophy, the IB Learner Profile, ATL skills, and programme expectations in August and within the first week for mid-year hires
  • Creates and manages a monthly IB ATL learning walk calendar
  • Collects ongoing data and recommends improvements to IB programme monitoring, intervention, and alignment of IB course expectations
4. Student Support & Guidance

5. CTE Pathway Integration
Career-related Studies
  • Coordinates the IBCP Career-related Studies (IB CRS) component, ensuring GGA's Business and Engineering CTE courses meet IB requirements
  • Supports CTE teachers in connecting their courses to IB Career-related Studies expectations, embedded in coaching cycles
  • Partners with the Director of Finance & Operations on annual CTE course approval renewals with OSSE and DC PCSB; owns IB-specific IB CRS documentation

  • Partners with the Director of Culture, whose advisors reinforce IB expectations and the Learner Profile in advisory, who partners on community and service events, and who provides attendance and engagement data for credential-risk monitoring
  • Coordinates with the Director of Finance & Operations on IB exam fees, secure storage of exam materials, and OSSE/DC PCSB CTE compliance paperwork
