You'll lead Accounts Payable operations covering operating expenditure (OPEX) and employee travel and expense (T&E) claims across DayOne's growing regional business. Based in Kuala Lumpur, you'll oversee the accurate and timely processing of vendor invoices and employee reimbursements while ensuring strong financial controls, policy compliance and operational efficiency.

Reporting to the Senior Manager, Finance & Accounting, you'll manage the OPEX and Staff Claims teams within our Finance Shared Service Centre, working closely with Procurement, HR, Payroll, Finance and regional business stakeholders.

This is a hands-on operational leadership role with a strong focus on process improvement, standardisation and automation. Beyond overseeing daily transactions, you'll help strengthen AP governance, improve the employee reimbursement experience and build scalable processes that support DayOne's continued expansion.

Responsibilities

  • Oversee end-to-end processing of OPEX vendor invoices, including purchase order (PO) and non-PO invoices, invoice validation, SAP posting and goods receipt/invoice receipt (GR/IR) matching.
  • Ensure invoices are processed accurately and within agreed service-level agreements (SLAs), with appropriate accruals and supporting documentation for month-end closing.
  • Manage GR/IR clearing, AP subledger reconciliations and outstanding balances, ensuring aged and unmatched items are investigated and resolved promptly.
  • Oversee vendor enquiries, statement reconciliations and payment-related discrepancies, maintaining strong controls to minimise duplicate payments and processing errors.

  • Ensure employee reimbursements comply with company T&E policies, including appropriate supporting documentation, cost centre allocation, general ledger (GL) mapping and tax treatment.
  • Monitor claims exceptions, recurring compliance issues and reimbursement delays, recommending corrective actions and policy enhancements where necessary.
  • Partner with HR, Payroll, Finance and system owners to improve Workday–SAP integration, reduce manual intervention and enhance the efficiency and accuracy of claims processing.

  • Identify operational inefficiencies, bottlenecks and control gaps across OPEX AP and employee claims processes, leading initiatives to simplify, standardise and automate workflows.
  • Develop and maintain standard operating procedures (SOPs), work instructions and process documentation to ensure consistent practices across the Shared Service Centre.
  • Establish and strengthen SOX-compliant internal controls, including appropriate segregation of duties, approval workflows and audit-ready documentation.
  • Define and monitor operational performance indicators, including processing turnaround time, first-time-right accuracy, outstanding backlogs and aged transactions.
  • Support the integration and onboarding of new entities into DayOne's Finance Shared Services operating model, ensuring processes remain scalable as the business expands.

  • Act as a key point of contact for OPEX AP and employee claims matters, working closely with Procurement, General Ledger, HR, Payroll, budget owners and regional business teams.
  • Establish clear communication channels, service expectations and escalation procedures to ensure timely resolution of operational issues.
  • Collaborate with Finance and business stakeholders to resolve complex invoice discrepancies, reimbursement exceptions and process-related challenges.
  • Support internal and external audits by ensuring accurate financial records, complete supporting documentation and timely responses to audit enquiries.

  • Lead, coach and develop team members responsible for OPEX invoice processing and employee claims, fostering accountability, accuracy and continuous improvement.
  • Oversee workload allocation, operational priorities and backlog management to ensure service levels and processing deadlines are consistently met.
  • Set clear performance expectations, monitor individual and team productivity, and provide ongoing guidance and development opportunities.
  • Promote collaboration, knowledge sharing and consistent operating practices across the OPEX and Staff Claims teams.
