About KOSSA
KOSSA is building a future where life outcomes are driven by talent and determination, not circumstance or gender. We aim to level the playing field by creating opportunities in sport for youth across Africa to grow as athletes and human beings – empowered, educated, and ascendant on the global stage.
As KOSSA grows, preserving the history, development, and progression of every player becomes increasingly important. We are therefore seeking a highly organized and detail-oriented individual to become the custodian of KOSSA's player documentation and visual archive.
Overview
The Documentation, Logging & Archive Officer will be responsible for creating and maintaining KOSSA's central media and content archive.
This individual will ensure that every player within the KOSSA ecosystem has a documented history, including footage, photographs, interviews, and related content – as part of a broader archive that also covers the KOSSA project and programme: events, tournaments, the development of clubhouses, the design story of academies, community back stories, and sponsorship and marketing material.
The role combines elements of digital archiving, media management, content rating, keywording and logging, digital library and catalogue curation, and editorial and storytelling support.
The successful candidate will build and maintain a structured, searchable repository of player journeys that primarily serves storytelling, audience building, and IP value creation, which can in turn be used for scouting, player development, recruitment, marketing, fundraising, partnerships, and historical preservation.
This role is critical to ensure that KOSSA never loses the story of a player.
Core Purpose of the Role
To build and maintain a comprehensive, searchable, and continuously updated archive of every player and the KOSSA journey – and the lives, communities, and issues that journey touches.
The successful candidate will know who every player is, where they came from, what content exists about them, their development history, their performance milestones, and their progression through the KOSSA pathway. They will also know about every KOSSA tournament, event, and location that is important to the KOSSA story.
At any point in time, KOSSA should be able to retrieve the complete story of any player within minutes. Producers should be able to identify footage by theme, character, location, programme/event type, graphic and compositional characteristics, and technical specifications.
Key Responsibilities
- Review and log all incoming visual content, producing for each media card or piece of footage: a 10-line synopsis (location, event, scene/s, characters, and the big idea/main action); file name; drive; shot date; shot description; dialogue notes; audio notes; duration; video format; codec; camera; concept/story notes; editor’s notes; general notes; and a good/bad take rating.
- Develop and maintain a standardized metadata framework. Tag content based on player, age group, country, clubhouse, academy, competition, position, event, date, and development stage. Ensure content can be located within minutes, even years later.
- Review and catalogue footage from matches, training sessions, tournaments, assessments, and showcase events. Maintain references to full match footage and highlight clips, ensuring each piece is properly logged and findable within the wider content archive.
- Build and maintain KOSSA's media and content digital asset library. Responsibilities include folder architecture design, naming conventions, version control, backup management, storage optimization, and cloud archive maintenance for media content. Ensure media archives remain secure, organized, and scalable.
- Implement modern systems for managing media-related content. Leverage AI-powered transcription and tagging tools, and search and retrieval technologies. Continuously improve media archive efficiency and accessibility.
- Work closely with KOSSA's media team, providing editorial and storytelling support for sponsorship presentations, player profiles, social media campaigns, investor communications, and historical projects. Identify important stories and ensure critical footage is preserved.
Candidate Requirements
Essential
The successful candidate must have exceptional organizational skills, strong process orientation, and the ability to manage large volumes of information with attention to detail. Excellent documentation and record-keeping abilities are required, along with comfort working across technology platforms and strong written communication skills.
Essential skills include the ability to write clear content synopses; the capacity to describe shots clearly and concisely; the capacity to assess and rate shots according to aesthetic, narrative, and thematic criteria; the capacity to identify and catalogue themes, characters, and locations; the capacity to identify and document emerging storylines; the capacity to maintain flawless spreadsheets and detailed, well-structured notes; and proficiency in, or the capacity to learn, digital media library and media management tools. The ability to work independently is also essential.
Preferred
Preferred candidates will have experience in media logging or production management, documentary filmmaking workflows, and managing archives or digital libraries. Familiarity with sports operations environments, Google Sheets, and AI-assisted cataloguing tools are a plus. A background in journalism, filmmaking, information management, sports administration, or archival sciences is advantageous. An interest in football and athlete development is a bonus.
Ideal Candidate Profile
The ideal candidate thinks systematically, notices detail others miss, and loves organizing information. They have strong visual memory, understand storytelling, and appreciate the importance of preserving history. They are excited by technology and workflow optimization and can create order from large amounts of content and data.
They are equally comfortable discussing football talent development, documentary footage, metadata structures, and archive systems.
Why This Role Matters
Many football organizations track players. Very few preserve their stories.
At KOSSA, every child represents a journey, a family, a community, and a future opportunity. This role exists to ensure that no important moment, achievement, or story is ever lost.
The Documentation, Logging & Archive Officer will become the custodian of KOSSA's institutional memory and the architect of one of the most valuable assets KOSSA will ever build: the documented history of its players.
