About the Role

~1 min read

You own our global talent operations function for a client program, end to end: team, systems, tools, financial performance and service delivery. You build one business unit with one accountable owner, a budget, a margin and clear service levels, replacing agency placements and part-time coverage. You manage the Account Manager, the Administrator and a pool of recruiters, and you do not source or interview candidates in volume. You decide the final top-five shortlist for each role and approve spend inside the agreed budget, while the client's finance, People and Legal leaders approve roles, budgets and terms, and offers outside agreed bands go to our CEO.

You report to our CEO and work closely with the client's finance, People and Legal leaders, legal counsel, our Operations lead, our bookkeeper, the Account Manager, the Administrator, the recruiter pool and the CPA.

Moj Mahdara is an entrepreneur and investor. She is Co-Founder and Managing Partner of Kinship Ventures, the venture platform she launched alongside Gwyneth Paltrow, and the founder of Trolley. Before Kinship, Moj was CEO of Beautycon Media, the global festival and media company built at the intersection of beauty and pop culture.

Trolley is a fast-growing creative operations company delivering high-impact digital and marketing solutions. We work with high-profile clients and founder-led brands to strategize, produce and optimize content that drives engagement, brand visibility and business growth. Our team combines strategy, design, production and performance analysis, and we work AI-first. We are a fast-moving, collaborative remote team that values respect, teamwork and open communication.

Responsibilities

  • →The unit's P&L, budget, forecast and cash view, with monthly budget-versus-actual reporting and a healthy margin on all-in cost across a $2.5M to $5M annual workforce cost.
  • →A workforce plan and hiring calendar agreed with client leaders and budget-approved before search, delivering about thirty hires over six to seven months.
  • →Monthly close, payroll and contractor payment sign-off, invoicing and collections, with audit-ready records and no duplicate or wrong payments.
  • →The core team and recruiter pool, with capacity, pay on accepted shortlists and retained hires, weekly output reviews and release when standards are not met.
  • →Selection quality, including the screening process, assessments and the final top-five shortlist for each role before client approval.
  • →Contractor agreements, statements of work, country classification, background checks and work authorization, with counsel writing final legal language and nobody starting without paperwork.
  • →Onboarding, offboarding, the access register, agencies, vendors and recruiting technology, with AI and no-code automation that lowers agency spend and manual work.
  • →A weekly report, monthly and quarterly reviews, and documented procedures and playbooks that let the unit run and scale without depending on one person.
  • You have run a business or function end to end with a P&L and a team, directly managed a multi-million-dollar workforce or operating budget, and can walk through it line by line on a screen share.
  • You bring controller-level finance skills: ledger, payroll, payables, receivables, cash flow, forecasting, monthly close and budgets, and you pass an Excel level 2 assessment with ease.
  • You know global hiring: contractor and employee classification, employer-of-record models, local labor law and contract writing, and you work well with accountants and lawyers in several countries.
  • You lead managers, decide with data, handle difficult conversations, treat compensation and personal data with discretion, and write short updates in fluent Spanish and English that name owners and dates.
  • Advanced written and spoken English.
  • Advanced use of AI: it is already part of how you work every day.

Not a recruiter, sourcer, HR generalist, fund accounting or brand strategy role.

The stages depend on the case, and usually include:

  • A 15-minute interview
  • A skills test
  • A 30-minute interview with the manager
  • A final interview with Moj, our CEO

Trolley is an equal opportunity employer. We welcome applicants of all backgrounds and make hiring decisions without regard to race, color, religion, sex, gender identity, sexual orientation, national origin, age, disability or any other protected status.
