Responsibilities
~2 min readAs HR Operations Coordinator, you play a key role in ensuring smooth day-to-day operations across HR, recruitment, IT support, onboarding, and office management. You are the backbone of the employee experience, supporting both candidates and colleagues throughout their journey at AIHR.
This is a temporary position to cover maternity leave for a period of approximately 7 months. During this time, you will take ownership of core operational processes and ensure continuity across all People and Office functions.
You will be supporting basic HR operations, including maintaining employee data, handling administrative processes, and ensuring accuracy and consistency across HR systems.
In recruitment, you will be responsible for triaging inbound applicants in Recruitee and conducting initial practicalities calls with candidates. You ensure a smooth handover to hiring managers. This requires strong organizational skills and the ability to quickly assess candidate fit and keep processes moving efficiently.
On the IT side, you will maintain the equipment inventory, ensuring all assets are tracked and up to date. You’ll also handle logistical tasks such as dropping off and collecting damaged laptops from the repair store and setting up laptops for new joiners. While these tasks are operational, they are critical to keeping the team productive.
For onboarding, you will prepare welcome and goodies packs, manage pre-onboarding communications, and support any additional onboarding needs that arise. You help create a great first impression and ensure new hires feel welcomed and set up for success from day one.
In office and event operations, you will manage goodies inventory and restocking, track work anniversaries and organize gifts, and provide hands-on support during office events. This part of the role is highly dynamic and requires flexibility, especially during busy periods or events.
This is a varied and hands-on role where priorities can shift quickly. While some tasks are repetitive or operational in nature, your impact on the employee experience is significant and highly valued.

Internship or 1 year of experience in HR operations, office management, or a similar role
Highly organized and detail-oriented
Proactive and hands-on, with a strong sense of ownership
Comfortable juggling multiple priorities in a fast-paced environment
Strong communicator with a service-oriented mindset
Tech-savvy and confident to learn to work with tools like ATS systems and Google Workspace
Flexible and adaptable—no two days are the same
Available for a 7-month maternity cover for 16 or 24 hours (40-60%) and able to work partially from our Rotterdam office
