Who We Are:

Archipelago Companies is a portfolio holding company built around a family of premium consumer lifestyle brands, including OluKai, melin, and Roark, supported by Tradewind Services (TWS), our shared operating backbone. 4001 MacArthur is our new corporate headquarters, designed to bring portfolio leadership and TWS functions together under one roof. 10 Faraday in Irvine is an active office we operate alongside it.

About the Role:

The Facilities Manager is the single accountable owner for the physical environment and building systems across both locations. This person knows how a high-end building actually works (mechanical, electrical, plumbing, and building controls) and keeps it running so well that nobody notices. The standard is quiet and anticipatory: issues are found and fixed before they become someone else’s problem.

4001 MacArthur is a newly built, design-forward headquarters with sophisticated building systems. This hire should join before building handoff so they learn the building during commissioning, not after.

Key responsibilities include but are not limited to:

Building Operations and Preventive Maintenance

  • Own day-to-day operation, inspection, and repair of building systems at both sites, including HVAC, plumbing, electrical, lighting, doors and hardware, and finishes.
  • Build and run a preventive maintenance program with a documented schedule, asset register, warranty tracking, and O&M manuals for each building.
  • Perform first-line troubleshooting and hands-on repairs; escalate and manage vendors for anything beyond scope.
  • Proactively flag maintenance issues and upcoming needs through regular inspections and walkthroughs, logging each with a recommended action and an owner.
  • Maintain a work-order process so every request is logged, assigned, and closed with a named owner and a due date.
  • Develop, document, and maintain building standard operating procedures (SOPs) for both sites, covering routine operations, vendor service and access, and emergency response, and keep them current.

Vendor, Contract, and Budget Management

  • Manage service providers across janitorial, HVAC, fire and life safety, elevator, security, landscape, and pest.
  • Define scopes, gather competitive bids, review performance on a regular cadence, and verify invoices against contract pricing.
  • Provide input to the annual facilities budget and track spend against it for each building.
  • Work with outside property management or building engineering partners, if engaged, so responsibilities are clear and nothing falls between parties.

Landlord and Property Interface (10 Faraday)

  • Act as the day-to-day contact with the landlord and property manager.
  • Know and enforce the lease split: the tenant is responsible for the interior of the premises, and the landlord is responsible for common areas and structural elements.

Building Handoff (4001 MacArthur)

  • Partner with the project team through closeout: punch list, building systems commissioning and training, as-built and O&M documentation, and warranty handoff.
  • Be the building’s technical memory after turnover, with a clear record of what was installed, by whom, and how it is serviced.

Safety and Security Systems

  • Own life-safety and security systems and their vendors at both sites, including fire alarm and suppression, access control, cameras, and alarm monitoring: service schedules, repairs, inspections, and vendor performance.
  • Maintain inspection schedules and compliance records (fire, elevator, backflow, AED, and similar).
  • Maintain emergency response plans and run drills with the Office Manager.
  • Coordinate with TWS IT where security systems touch the network.

Executive and Guest Environment

  • Keep executive and guest-facing areas in premium physical condition, including finishes, fixtures, lighting, and climate.
  • Work closely with the Office Manager and executive assistants so building issues are resolved quickly and discreetly.

Reporting and Accountability

  • Deliver a monthly facilities report covering open work orders, preventive maintenance completion, vendor performance, spend versus budget, and upcoming risks.
  • Flag issues early, with a recommended fix and an owner.

Additional building oversight responsibilities will be added to this role over time.

Requirements & Qualifications:

  • Bachelor's degree preferred or equivalent experience in a related field
  • 7–10 years in facilities or building engineering for Class A office, corporate headquarters, hospitality, or high-end commercial or residential properties.
  • Strong hands-on skills in HVAC, plumbing, electrical, and lighting, plus familiarity with building automation systems.
  • Working familiarity with AV and integrated building systems (such as Crestron and Lutron), enough to triage issues and route them to the right vendor or TWS IT.
  • Proven vendor and contract management experience, including bidding and invoice review.
  • Comfortable with work-order or CMMS tools, budgets, and clear written reporting.
  • Discretion, professionalism, and an executive-level service mindset.

Preferred

  • Certifications such as CFM or FMP (facilities), EPA 608, and CPR/AED
  • Experience supporting a new-building turnover or tenant improvement project.
  • Actively seeks out AI-enabled tools and emerging technologies, adapting quickly to leverage them for improved productivity, deeper insights, and more effective processes, while exercising sound judgment and maintaining compliance with organizational standards
